About The Position

As a Department Assistant II – Parks, you will provide customer service and administrative support for City View Cemetery and the Parks Division. This position assists families, funeral homes, vendors, members of the public, and City staff; coordinates cemetery sales and services; maintains cemetery records; and performs purchasing, payment processing, scheduling, records management, reporting, and general administrative duties. The ideal candidate will have progressively responsible experience in customer service, administrative support, records management, cemetery operations, sales, or a related field. This role requires compassion, accuracy, discretion, independent judgment, and the ability to provide professional service in situations that may be sensitive, emotional, or time-sensitive. You will assist families and customers with cemetery property, products, services, fees, policies, and pre-need or at-need arrangements; show available grave plots and niches; prepare and process contracts, permits, deeds, payment documents, memorial layouts, and correspondence; and coordinate burials, inurnments, disinterment’s, memorial installations, and other services with families, funeral homes, grounds staff, and contractors. This position also provides administrative support to the Parks Division, including reception and customer service, correspondence, reports, forms, spreadsheets, meeting materials, files, calendars, project records, purchasing, invoices, purchasing-card documentation, budget and expenditure tracking, community events, volunteer activities, public outreach, and seasonal operations.

Requirements

  • High school diploma or G.E.D.
  • Two (2) years of progressively responsible customer service, administrative support, records management, cemetery operations, sales, or related experience.

Nice To Haves

  • Municipal government, parks, facilities, cemetery, or similar public-service experience.
  • Experience assisting grieving, distressed, or dissatisfied customers.
  • Experience with cemetery operations, terminology, products, records, or industry practices.
  • Bilingual in English and Spanish.

Responsibilities

  • Assist families and customers with cemetery property, products, services, fees, policies, and pre-need or at-need arrangements.
  • Show available grave plots and niches.
  • Prepare and process contracts, permits, deeds, payment documents, memorial layouts, and correspondence.
  • Coordinate burials, inurnments, disinterment’s, memorial installations, and other services with families, funeral homes, grounds staff, and contractors.
  • Provide reception and customer service for the Parks Division.
  • Handle correspondence, reports, forms, spreadsheets, and meeting materials for the Parks Division.
  • Manage files, calendars, and project records for the Parks Division.
  • Process purchasing, invoices, and purchasing-card documentation.
  • Track budget and expenditures.
  • Assist with community events, volunteer activities, public outreach, and seasonal operations.
