About The Position

Christ Community Health Services is seeking an experienced Dental Site Manager to provide comprehensive operational leadership for a dental clinic site. This position leads administrative and clinical support teams, strengthens patient access and clinic flow, ensures regulatory readiness, and maintains a safe, efficient, and patient-focused environment. The Dental Site Manager serves as a key liaison among dental providers, site staff, the Oral Health Practice Administrator, and organizational leadership. Success in this role requires strong dental-operations knowledge, sound judgment, accountability, and a commitment to balancing regulatory compliance, financial sustainability, and mission-driven care.

Requirements

  • Three to five years of experience working in a dental setting.
  • A relevant college degree or equivalent experience in healthcare administration, management, dentistry, or another area of dental operations is preferred.
  • Clinical or dental-practice-management experience is preferred.
  • Dental registration or Dental Billing and Coding certification is preferred but not required.
  • Advanced interpersonal and communication skills with the ability to lead, motivate, and collaborate across clinical, administrative, and interdisciplinary teams.
  • Strong conflict-resolution and mediation skills.
  • Exceptional organization and time-management skills, including the ability to manage a high-volume workload while maintaining accuracy and meeting deadlines.
  • Strong critical-thinking and problem-solving abilities, sound judgment, initiative, and a proactive approach to operational challenges.

Responsibilities

  • Maintain compliance with HRSA Uniform Data System reporting requirements by supporting accurate documentation, coding, and data collection.
  • Ensure adherence to FQHC operational standards, including access to care, the Sliding Fee Discount Program, and patient eligibility documentation.
  • Oversee compliance with OSHA requirements, including bloodborne-pathogen, hazard-communication, and dental workplace-safety protocols.
  • Ensure compliance with CDC infection-prevention standards for dental settings, including sterilization, instrument processing, and appropriate use of personal protective equipment.
  • Maintain readiness for HRSA Operational Site Visits and other applicable surveys or audits by keeping policies, documentation, and staff training records current.
  • Monitor HIPAA compliance and the secure handling of protected health information.
  • Support compliance with dental billing and coding requirements, including CDT codes and Medicaid and Medicare standards.
  • Ensure adherence to Tennessee dental board requirements and scope-of-practice rules for dental assistants and hygienists.
  • Partner with dentists to support efficient delivery of preventive, restorative, and urgent dental services.
  • Oversee patient scheduling practices, including same-day and emergency access, in alignment with FQHC requirements.
  • Monitor clinical productivity, patient flow, and cycle times to improve access, efficiency, and patient satisfaction.
  • Ensure appropriate documentation within the electronic health record to support continuity of care and compliance.
  • Coordinate internal and external dental referrals, including timely initiation, tracking, and follow-up.
  • Monitor oral-health care gaps, incomplete treatment plans, and preventive-care needs to promote treatment completion and improved outcomes.
  • Support integration and care coordination with medical, behavioral health, and specialty services.
  • Assist within the dental clinic as needed to maintain effective patient-care operations.
  • Manage daily site operations, workflows, and protocols to support productivity, consistency, and service excellence.
  • Review operational reports and key performance indicators to identify trends and improvement opportunities.
  • Troubleshoot operational challenges and implement practical solutions that maintain continuity of care.
  • Implement and monitor new policies, processes, quality initiatives, and performance-improvement activities.
  • Ensure the clinic environment meets established standards for safety, cleanliness, functionality, and fire protection.
  • Oversee dental equipment, instruments, supplies, inventory, maintenance, and documentation to support uninterrupted operations.
  • Provide operational coverage and support across multiple CCHS dental locations as needed.
  • Monitor front-end registration, eligibility verification, financial counseling, billing-compliance, and revenue-cycle processes.
  • Work with the billing department to review and correct dental claims, pre-authorizations, and payer correspondence.
  • Identify and resolve claim denials, documentation discrepancies, and authorization issues to support timely reimbursement.
  • Help balance financial sustainability with the organization's mission and access-to-care commitments.
  • Compile and submit required documentation for Oral Health Transformation Programs and other grant-funded initiatives accurately and on time.
  • Serve as the liaison between the dental site, the Oral Health Practice Administrator, and broader organizational leadership.
  • Lead regular staff and site meetings that promote communication, alignment, accountability, and follow-through.
  • Collaborate with other sites and centralized departments to standardize processes and share effective practices.
  • Address patient concerns, resolve complaints, and support incident-management and customer-service initiatives.
  • Advocate for patient and staff needs while maintaining a respectful, supportive, and accountable care environment.
  • Perform other duties as assigned to support clinic operations and the mission of CCHS.
  • Directly supervises approximately two to three Registration Representatives, two to eight Registered Dental Assistants, and one Residency Coordinator. Staffing levels may vary by location and operational need.
