About The Position

Lake Geneva Dental is seeking a Full-Time Front Desk Coordinator to manage daily front office administrative tasks, ensuring the smooth operation of the practice. This role involves handling patient communications, scheduling, financial arrangements, and maintaining organized schedules. The ideal candidate is a clear communicator, organized, and works well with patients and the team. Previous dental front desk experience is preferred.

Requirements

  • Proven experience in a front desk or administrative role, preferably in a dental office.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of dental terminology, procedures, and insurance processes.
  • Proficient in using dental office software and general office applications.
  • High school diploma or equivalent.
  • Must be able to lift up to 15-30 pounds at time.

Nice To Haves

  • Previous dental front desk experience is preferred.

Responsibilities

  • Answer incoming phone calls, schedule and confirm appointments, and handle new patient calls.
  • Review treatment plans with patients and discuss financial arrangements.
  • Maintain doctor and hygiene schedules, ensuring they are full, organized, and running as planned.
  • Perform general administrative tasks to support the office.
  • Greet patients and visitors in a friendly and professional manner.
  • Verify patient information and insurance details.
  • Coordinate and schedule appointments based on dentist availability.
  • Send appointment reminders and confirm appointments.
  • Handle appointment cancellations and rescheduling.
  • Ensure re-care appointments are booked.
  • Follow up with patients on unscheduled treatment plans.
  • Maintain accurate patient records and update information.
  • Handle patient registration and check-in/check-out processes.
  • Collect and record payments for services rendered.
  • Oversee and participate in collections of aged receivables.
  • Coordinate with dental assistants, hygienists, and other staff to ensure seamless patient care.
