About The Position

The UBC Dental Clinic, located in the Nobel Biocare Oral Health Centre, utilizes state-of-the-art technology and innovative architectural design to provide a sophisticated and efficient environment for learning, community service, and research. This role serves as the receptionist for the Main Dental Clinic, supporting approximately 200-300 patients daily by working with staff, students, and faculty. The clinic provides the setting for essential clinical practice components required for program completion.

Requirements

  • High school graduation.
  • Completion of a Dental Office Assistant program (including terminology).
  • One year of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.

Nice To Haves

  • A high level of knowledge of dental insurance with at least three years of experience in preparing claims and reconciling payments.
  • Knowledge of Ministry of Social Services' dental coverage provided for patients with disabilities.
  • Knowledge of CDCP.
  • Ability to maintain accuracy and attention to detail.
  • Ability to type at 50 wpm.
  • Ability to operate the normal range of office equipment.
  • Excellent communication and organizational skills.
  • Dental terminology.
  • Word processing/spreadsheet/computer experience (dental database preferred).
  • Ability to exercise tact and discretion.

Responsibilities

  • Act as receptionist in the Main Dental Clinic, serving 200-300 patients per day.
  • Provide guidance and instructions to students on dental plans, pre-determination procedures, and reimbursement processes.
  • Liaise with dental insurance carriers to ensure patients receive maximum benefits.
  • Verify, print, and submit dental insurance claim forms and resolve claim or processing issues.
  • Allocate and reconcile payments in patient records from dental insurance remittances.
  • Communicate with patients and insurance companies to resolve discrepancies and follow up on outstanding claims.
  • Respond to telephone and in-person inquiries from prospective and current patients regarding treatment programs, billing information, and charges.
  • Identify and report discrepancies in computer records for correction.
  • Schedule appointments for routine and urgent care patients.
  • Assign students to urgent care cases and coordinate with the Urgent Care Supervisor.
  • Book appointments for non-registered patients in pain for the Urgent Care Clinic and confirm appointments daily.
  • Process daily patient payments by cash, cheque, credit card, and direct deposit.
  • Accurately enter payments in patient records, issue receipts, and reconcile and prepare deposits.
  • Contact patients regarding outstanding balances or NSF cheques and follow up to secure payment.
  • Close patient accounts and compile information for submission to collection agencies when necessary.
  • Ensure pre-payment or pre-determination approval for laboratory items before processing.
  • Enter dental laboratory invoices into patient records using the lab tracking module in axiUm.
  • Maintain and update patient records, ensuring completeness and accuracy.
  • Download, scan, and send radiographs and patient records at the request of patients or students, adhering to privacy and confidentiality regulations.
  • Provide orientation and training to students and staff on reception procedures, patient payment portal, patient access, laboratory processes, and dental insurance protocols.
  • Assist in the training of new staff members as required.
  • Perform administrative duties including sorting and delivering mail, maintaining office supply inventories, photocopying and restocking clinical forms, and delivering paperwork to designated UBC locations.
