About The Position

The Dental Administrative Assistant will provide administrative support to the dental staff and excellent patient-centered service to dental patients while managing the dental department operational workflow. This role involves maintaining patient records, scheduling appointments, managing financial assistance referrals, and ensuring compliance with various regulations and protocols.

Requirements

  • High School Diploma or equivalent.
  • Hands-on computer operations experience in a dental work environment.
  • Current CPR certification.
  • Minimum of two years of experience working in a dental office.
  • Experience in collaboration with interdisciplinary healthcare teams.

  • Additional education relating to the dental field is preferred.

Responsibilities

  • Provide administrative support to dental staff.
  • Deliver excellent patient-centered service.
  • Manage the dental department's operational workflow.
  • Ensure knowledge and understanding of the Employee Handbook.
  • Uphold the CSMD Mission and Vision statements.
  • Practice a culture of safety by utilizing the Risk Management and Infection Control Plan.
  • Adhere to the Quality Improvement Plan for high-quality standards.
  • Be present and ready for work as scheduled.
  • Attend in-service trainings, departmental meetings, and community events.
  • Work cohesively with team members.
  • Greet and determine the needs of callers, visitors, or patients, answering questions.
  • Communicate professionally with all patients.
  • Enter new and/or updated information for dental patients.
  • Contact patients who have not completed their treatment plans.
  • Schedule appointments for dental patients, entering required information into the computer system.
  • Cancel or reschedule appointments as required.
  • Provide appointment services to walk-in and work-in patients.
  • Refer patients to Front Desk Staff and/or Patient Financial Services Representative regarding financial assistance.
  • Provide administrative support, including reports for board meetings.
  • Assist the dental director as requested.
  • Oversee proper use of radiation badges for all dental team members, per OSHA regulations.
  • Coordinate and track referral of patients needing dental specialists or medical clearances.
  • Participate in Clinic sponsored functions (e.g., health fairs).
  • Oversee necessary sterilization records per La. State Board of Dentistry protocol.
  • Maintain the integrity of the medical records system and confidentiality of workplace information.
  • Know and communicate all codes effectively over the intercom system.
  • Work professionally as a team member with dental staff, other department employees, and the center.
  • Operate within the guidelines established by departmental and Center policies and procedures.
  • Demonstrate knowledge of and adhere to proper chain of command.
  • Participate in CQI activities.
  • Keep appropriate individuals aware of issues, changes, and pertinent problems.
  • Advise appropriate personnel of situations requiring follow-up attention.
  • Suggest practical solutions in response to changing regulations and customer/department needs.
  • Perform additional responsibilities as requested by supervisor.
