About The Position

As Delivery Operations Analyst, you will be the operational backbone of Stonebranch’s Professional Services organization. Reporting directly to the Chief Delivery Officer, you will own the day-to-day financial and operational administration of the PS delivery function — ensuring that SOW commitments are understood and acted on, customer invoices are generated accurately and on time, project tracking records are current and reliable, and the PS team has the coordination support it needs to execute at a high level. This role sits at the intersection of financial administration, project operations, and cross-functional coordination. You will interface regularly with Finance, Sales, and PS leadership, and must be comfortable directing work and following up on action items with peers and senior stakeholders without formal management authority. The ability to read a complex commercial document, extract the relevant implications, and translate them into clear operational next steps is a core requirement of this position.

Requirements

  • 2–4 years of experience in an operations, project coordination, financial administration, or professional services support role.
  • Demonstrated ability to manage multiple concurrent workstreams, track deliverables, and maintain follow-through in a fast-moving professional environment.
  • Prior exposure to SOW review, contract interpretation, or billing and invoicing processes in a services-oriented organization is a strong differentiator.
  • Experience working cross-functionally with Finance, Sales, or senior leadership in a SaaS or enterprise software environment is a plus.
  • Bachelor’s degree in Business Administration, Finance, Operations, Communications, or a related field.
  • Excel: advanced proficiency required. Comfortable with formulas, pivot tables, and financial tracking workbooks.
  • Smartsheet: prior experience strongly preferred; candidates without Smartsheet exposure will be expected to ramp quickly.
  • SharePoint: working familiarity required for document management and team site maintenance.
  • General proficiency with Microsoft 365 tools (Teams, Outlook, Word).
  • Outstanding written communication: ability to read a complex SOW, extract the financial and operational implications, and synthesize them into a clear, structured summary.
  • Verbal fluency and executive-level poise: you will interact directly with the Chief Delivery Officer and engage regularly with other function heads. You must be able to hold your ground professionally without formal authority.
  • Strong follow-through instinct: the ability to track open items, re-engage stakeholders who have gone quiet, and close loops without requiring CDO escalation is a core behavioral expectation of this role.
  • Highly organized and detail-oriented, with a strong sense of ownership over assigned processes and deliverables.
  • Comfortable operating in a structured but dynamic environment where priorities can shift and clear communication is essential.
  • Self-directed: able to identify what needs to happen next without being told, and proactive in surfacing issues before they become problems.
  • Professional and composed in senior stakeholder interactions; this role has direct C-level exposure and visibility from day one.

Nice To Haves

  • Familiarity with professional services or consulting billing models (milestone-based, T&M, fixed-fee).
  • Exposure to workload automation, IT operations management, or adjacent enterprise infrastructure software.

Responsibilities

  • Read, interpret, and extract key information from Statement of Work (SOW) documents: scope boundaries, deliverable schedules, milestone definitions, and fee structures.
  • Flag contractual implications for project scheduling, invoicing, and resource planning; communicate relevant findings to the CDO and project managers in clear, concise terms.
  • Maintain organized SOW and contract documentation in SharePoint, ensuring version control and accessibility for the broader PS team.
  • Support scope governance by tracking change orders and managing their financial operations with the appropriate stakeholders.
  • Own the PS customer invoicing cycle: track project milestone completion against SOW terms, coordinate with Project Managers on approvals, work with Finance to initiate invoice generation, and follow up on outstanding items to ensure timely revenue recognition.
  • Maintain accurate financial tracking across active PS engagements; produce regular updates on billing status and outstanding receivables for CDO review.
  • Identify and escalate invoicing discrepancies or blockers promptly; ensure Finance has the project data it needs to process billing without delays.
  • Support month-end and quarter-end close processes by ensuring PS project financial data is current and reconciled.
  • Produce KPI reports for the PS organization.
  • Maintain Stonebranch’s Smartsheet-based PS project tracking across all active engagements: work with the Project Managers to ensure project statuses, milestone dates, resource assignments, risk flags, and completion data are properly updated.
  • Produce regular portfolio status summaries and reporting for the CDO and PS leadership; ensure visibility is current and actionable at all times.
  • Uphold data hygiene standards across PS project tooling; enforce consistent use of templates and tracking conventions across the team.
  • Manage PS-related content in SharePoint: maintain organized repositories of project documents, SOWs, templates, and delivery artifacts.
  • Coordinate action items and task follow-up across the PS team and with cross-functional stakeholders in Sales, Finance, and Customer Success; track outstanding items and escalate blockers to the CDO before they become delivery risks.
  • Direct work and follow up with peers and senior stakeholders without formal management authority; must be comfortable re-engaging people who have gone quiet on time-sensitive items.
  • Prepare structured status updates, summaries, and communications for CDO-directed priorities; ensure the right people have the right information at the right time.
  • Support PS leadership with capacity estimates, project timeline inputs, and operational data needed for pre-sales scoping and resource planning.
