About The Position

We are seeking a dedicated Deductions Specialist to manage a specified territory categorized by Independent Sales Representatives. This role involves resolving pricing claims and deductions by validating customer debit memos against system support while collaborating directly with customers and representatives. The position requires working with QC, Shipping, and Sales teams to address claims and arrange returns when necessary, and issuing credit/debit memos promptly upon receipt of goods.

Requirements

  • Proficiency in cash application, lock box, invoicing, deductions, credits, and debit memos.
  • Extremely organized with excellent time management skills.
  • Strong team player who assists team members proactively.
  • Proficient in Excel.
  • Excellent communication skills, especially via telephone.
  • Thorough documentation skills for recording deduction notes.
  • Punctuality and excellent attendance with self-management abilities.
  • Bachelor’s Degree or 5 years of experience in collections, accounts receivable, reconciliation, credit analysis, vendor communication, and accounting.
  • Teamwork is essential for success in this role.
  • Punctuality is critically important.

Responsibilities

  • Resolve pricing claims and deductions by validating customers' debit memos.
  • Collaborate with QC, Shipping, and Sales teams on claims and arrange returns as needed.
  • Issue credit/debit memos within 24-48 hours of receipt of goods.
  • Support adjustments with proper validation and documentation.
  • Manage freight claims by providing raw material scrap values and tracking reclaimed materials.
  • Process and track commission deductions as necessary.
  • Run reports and manage unresolved chargebacks and deductions.
  • Collect unearned discounts when necessary.
  • Provide support to team members during absences.
