About The Position

This position involves managing a wide variety of administrative tasks that keep the dealership running seamlessly. The administrator is responsible for processing all necessary vehicle paperwork with precision and attention to detail, which includes handling titles, registrations, lien releases, and sales documentation. By maintaining accurate and up-to-date records of our vehicle inventory, both new and pre-owned, the administrator helps guarantee availability and compliance with company and regulatory standards. In addition, the Dealership Administrator supports multiple departments including sales, service, and finance, acting as a central point of coordination to ensure deals are finalized quickly and accurately. Their work ensures an excellent customer experience by facilitating smooth transactions and promptly addressing any paperwork or administrative issues. They also uphold strict adherence to all legal and regulatory compliance requirements, safeguarding the dealership’s reputation and operational integrity.

Requirements

  • Previous experience in administrative roles, preferably within an automotive dealership or related environment.
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced setting.
  • Excellent attention to detail and accuracy in handling paperwork and financial transactions.
  • Proficiency with computers and common office software, including database and inventory management systems.
  • Good communication skills for effective collaboration with sales, finance, service teams, and customers.

  • Knowledge of automotive documentation, titles, registrations, and regulatory compliance is highly desirable.

Responsibilities

  • Efficiently process all vehicle sales paperwork, including titles, registrations, lien releases, and related legal documents. Ensure every document is accurately completed and submitted in a timely manner, helping to avoid delays or errors that could impact the customer’s purchase experience or dealership compliance.
  • Maintain meticulous vehicle inventory records, including tagging, tracking, and auditing of both new and used vehicles. This responsibility includes coordinating with the lot team and sales personnel to ensure that the inventory data is accurate and reflects actual stock, supporting effective sales operations and inventory forecasting.
  • Oversee daily financial activities such as processing and posting bank deposits, managing accounts payable and receivable, and reconciling accounts. This role demands strong organizational skills and attention to detail to guarantee accurate financial reporting and support the dealership’s fiscal health.
  • Work closely with the sales team and Finance & Insurance (F&I) department to help finalize vehicle deals. This cooperative effort ensures that all administrative and compliance steps are completed efficiently, enabling sales representatives to focus on meeting customer needs and closing sales.
  • Maintain office supplies and organized record-keeping systems to support daily dealership functions. The administrator plays a key role in fostering an efficient, organized, and professional working environment.
