About The Position

Nakupuna Services is seeking multiple Database Sustainment Specialists (DSS) to support the DMLSS-FM Databases throughout CONUS Military Treatment Facilities. The DSS will be located within and support their respective site, participating in Facility Management Team meetings as necessary. New DSS must complete initial comprehensive DMLSS classroom training, web-based training, and any available DCO training, including BUILDER. Travel to remote locations supported by their respective DMLSS servers may be required. This is an on-site position.

Nice To Haves

  • DMLSS experience is desirable but not mandatory; Training will be provided.
  • Two years’ database management experience preferred but not required.
  • Working knowledge, familiarity, or background in medical facilities management is desirable.
  • Associate’s or Bachelor’s degree in Facilities Management, Business Administration, Information Systems, Construction Management, or related field.
  • Experience may be substituted for formal education.

Responsibilities

  • Create, maintain, and update DMLSS-FM Inventories, including facilities, rooms, and Facility System Inventory (FSI)/real property installed equipment (RPIE) using DMLSS-FM system modules.
  • Create, maintain, and update facility inventory by populating all data fields on various tabs, coordinating with the DHA Real Property Manager for specific tabs.
  • Create, maintain, and update room inventory by populating all data fields, ensuring accurate representation with MEPRS, Department, Service DMISID, SEPS Room Code and Type, and housekeeping requirements.
  • Create, maintain, and update FSI/RPIE inventory by populating data fields via validation surveys with Operation and Maintenance personnel, ensuring all inventory items are surveyed every 5 years.
  • Provide quality assurance on O&M surveyed or maintained FSI/RPIE and provide recommendations or non-compliance reports.
  • Validate that Cost and History tabs are updated by proper completion of Unscheduled/Demand Work Requests and PM Scheduled Work Requests.
  • Inactivate all outdated records upon approval of Facility Manager or designee.
  • Perform 100% Room Inventory in accordance with DHA tasker, validating all DHA sustained real property for accuracy.
  • Maintain DMLSS-FM Requirement Management Module, providing support on active facility requirements and annually updating DHA mandated fields.
  • Associate requirements for critical systems and other requirements to appropriate requirement packages or projects.
  • Enter and update information received from the BUILDER Annual Work Plans.
  • Provide support for all DHA data calls via MTF facility management staff.
  • Maintain DMLSS-FM Project Management Module, providing support on maintaining and updating records of all active facility projects.
  • Populate all data elements within the project management module, tracking financial progress and associating documentation for active awarded projects.
  • Maintain a Project Management Journal for each active project.
  • Inactivate all outdated project records upon approval of Facility Manager or designee.
  • Provide support to DHA and all project data calls with direction from the MTF facility management staff.
  • Support Drawing Management by uploading DMLSS/Drawbase compatible drawings within 10 business days of receipt.
  • Ensure most recent CAD/Drawbase DMLSS compatible drawings are properly stored on the DMLSS server.
  • Perform tasks using Drawbase CAD software, including viewing, zooming, layer control, printing, and copying portions of drawings.
  • Maintain a list of work requests and projects that result in changes to facility layout and sketch changes on existing drawings.
  • Support and attend Facility Space Utilization Board (FUB/Space Committee), providing input and documenting minutes and approved changes.
  • Support Regulatory Compliance/The Joint Commission (RC/TJC) Program by administering the DMLSS RC/TJC module.
  • Ensure dates of corrective activities are monitored monthly and notify of expiring corrective actions.
  • Ensure Life Safety work requests and projects are properly classified as “Life Safety” and generate the SOC report when requested.
  • Support and attend Environment of Care (EOC) tours and document EOC minutes.
  • Support Work Request, Preventive Maintenance, and Real Property Installed Equipment, implementing DHA in-house operations and maintenance business processes if no O&M contract is in place.
  • Create, update, and closeout work requests for specific work classifications.
  • Create and maintain maintenance procedure and preventive maintenance schedule records.
  • Coordinate and administer completion closeout process of monthly all maintenance work requests.
  • Provide quality assurance support and analysis to all Health Commands, Facility Management staff, and O&M contractor.
  • Maintain accurate contact information in the Directory module.
  • Ensure identified records are set inactive in the System Services, Records Management module.
  • Coordinate with local DMLSS System Administrator to ensure roles and privileges for DMLSS-FM users are customized.
  • Provide training to facility management customers and MTF staff on the use of the DMLSS-FM Customer Support Work Request system.
  • Provide desk-side overview of the DMLSS-FM system to facility management and medical logistics personnel.
  • Ensure continuous DMLSS-FM implementation except for utility or IT issues outside the DSS control.
  • Submit a Monthly Assessment Report to the FM and AOR Manager.
  • Submit reports to support workload and performance reporting as required.
  • Perform travel to complete room inventory as required.
