About The Position

The Data Specialist supports the Antelope Valley Boys & Girls Club’s organization-wide data systems, program registration, reporting, and related technology platforms. This position helps ensure organizational data is accurate, current, and accessible across Club programs and sites. The Data Specialist works closely with leadership, program teams, and administrative staff to support My Club Hub/Salesforce, registration, attendance and enrollment reporting, data quality, and other organizational systems. The ideal candidate is highly organized, detail-oriented, comfortable with technology, and able to learn new systems quickly. This role requires someone who can identify inconsistencies, maintain accurate records, and turn information into reliable reports that support program operations, contracts, audits, compliance, and organizational decision-making.

Requirements

  • High school diploma or equivalent required
  • Strong working knowledge of Google Sheets and/or Microsoft Excel
  • Comfortable learning and navigating new technology platforms.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to identify inconsistencies and troubleshoot basic data issues.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities and deadlines.

  • Successfully complete all required background and compliance screenings, which may include a DMV driving-record check, drug screening, tuberculosis clearance, and other required checks.
  • Complete and maintain required certifications and training, including CPR/First Aid, mandated reporter training, harassment prevention, safety training, and other organizationally required training.
  • Maintain a valid driver’s license and reliable transportation when travel between Club locations or partner sites is required.
  • Maintain confidentiality and appropriately safeguard member, employee, financial, and organizational information.
  • Follow all AVBGC policies, procedures, safety standards, technology requirements, and professional expectations.
  • Maintain any required certifications or clearances throughout employment.

Nice To Haves

  • Associate degree in business, information systems, data management, technology, or a related field preferred.
  • Previous experience working with databases, CRM systems, spreadsheets, registration systems, or organizational data preferred.
  • Experience with Salesforce and/or My Club Hub strongly preferred.

Responsibilities

  • Create, maintain, and update programs and registrations within My Club Hub/Salesforce. Maintain accurate program dates, locations, enrollment settings, fees, capacities, eligibility requirements, and registration information (forms & acknowledgements).
  • Support registration for afterschool programs, camps, intersession, events, and other Club services.
  • Maintain accurate member and household records and correct duplicate, incomplete, or inaccurate information.
  • Assist staff and families with registration questions, troubleshooting, and system navigation.
  • Support new program launches, system updates, and registration changes.
  • Monitor enrollment and program capacity and communicate concerns to appropriate leadership.
  • Collect, organize, review, and maintain organizational program data.
  • Prepare routine and requested reports related to: Enrollment, Attendance and Average Daily Attendance, Program participation, Member demographics, Site performance, Contract, grant, and compliance requirements.
  • Assist with District, grant, audit, monitoring, and organizational reporting needs.
  • Review data for accuracy and investigate discrepancies before information is submitted.
  • Maintain reporting calendars and help ensure required deadlines are met.
  • Support accurate attendance and enrollment records for contractual, funding, and audit purposes.
  • Maintain confidentiality and appropriate security of member, employee, and organizational information.
  • Regularly review organizational data for missing, duplicate, incomplete, or inaccurate information.
  • Work with program/district staff and leadership to correct discrepancies and improve data-entry practices.
  • Identify recurring data issues and recommend practical solutions.
  • Develop spreadsheets, dashboards, trackers, Google Forms, and other tools that improve data collection and reporting.
  • Help standardize processes and documentation across Club locations.
  • Document procedures so registration, reporting, and data processes can be consistently followed.
  • Provide basic administrative support for technology platforms used throughout the organization.
  • Assist with user accounts, system access, permissions, and basic troubleshooting as assigned.
  • Support Google Workspace functions and shared digital resources as needed.
  • Assist with maintaining shared drives, forms, spreadsheets, and organizational files.
  • Provide basic support for device management, technology inventory, and related systems as assigned.
  • Coordinate with vendors or outside technical support when issues require additional assistance.
  • Help implement new tools and technology processes as organizational needs evolve.
  • Work collaboratively with Program Operations, District Partners, Finance, Human Resources, Development, and Executive Leadership.
  • Respond to organizational data requests in a timely and accurate manner.
  • Assist departments with reports, forms, trackers, and data-management tools.
  • Provide staff guidance or basic training on registration, reporting, and data systems when needed.
  • Support special projects involving data, registration, reporting, technology, or organizational growth.
