Data Operations Specialist

Maxinsights CorporationSanta Clara, CA

About The Position

We are hiring a Data Operations Specialist to own cross-functional execution for MaxInsights’ data-collection initiatives. This is a high-ownership role for someone who is technically fluent, commercially aware, and comfortable with ambiguity. You will turn broad goals into executable plans and coordinate the people, contracts, systems, and decisions required to launch and scale. You will serve as the central link among engineering, business development, legal and privacy counsel, staffing agencies, customers, and other third parties. At different times, you will act as a program manager, agency relationship owner, technical translator, contract coordinator, and startup generalist. The constant is judgment, communication, and follow-through.

Requirements

  • Experience in technical program management, startup operations, consulting, engineering, data operations, vendor management, or a similarly cross-functional role.
  • Technical fluency sufficient to understand data flows, system dependencies, permissions, and engineering constraints.
  • Exceptional communication skills and the ability to work effectively with engineers, executives, lawyers, customers, staffing agencies, and other external partners.
  • Strong organization and analytical judgment, with the ability to manage several fast-moving workstreams simultaneously.
  • Ability to read contracts, identify operational questions and risks, and collaborate effectively with legal counsel.
  • Proven ability to create structure from ambiguity and own outcomes without introducing unnecessary bureaucracy.
  • Bachelor’s degree in Electrical Engineering, Computer Science, Industrial Engineering and Operations Research, Information Systems, Business Analytics, or a related field—or equivalent practical experience.

Nice To Haves

  • Experience with staffing agencies, contingent workforces, data capture, data labeling, artificial intelligence, robotics, research operations, or field operations.
  • Experience working directly with founders, senior leadership, customers, or external counsel.
  • Familiarity with Google Workspace, Slack, Asana, SQL, Python, APIs, or workflow-automation tools.
  • Experience reviewing vendor proposals, pricing structures, service levels, or contract redlines.

Responsibilities

  • Own programs spanning data collection, staffing, technical readiness, legal and privacy review, and customer delivery.
  • Turn loosely defined objectives into requirements, owners, timelines, dependencies, and launch criteria.
  • Keep internal teams and external partners aligned as requirements evolve.
  • Identify gaps, unblock teams, escalate risks early, and drive decisions through completion.
  • Serve as a primary point of contact for operational partners.
  • Communicate recruiting targets, worker profiles, schedules, training, equipment, onboarding, and performance expectations.
  • Evaluate agencies based on cost, responsiveness, recruiting capability, geographic reach, compliance practices, and overall project fit.
  • Review proposals, bill rates, staffing plans, and service levels; recommend a path forward and track partner performance.
  • Work with internal and external counsel to review staffing agreements, master service agreements, statements of work, nondisclosure agreements, data-protection terms, and worker materials.
  • Give legal teams accurate business, technical, and operational context; track redlines, approvals, decisions, and open issues.
  • Ensure that contractual obligations and legal guidance are reflected in project plans, system requirements, and partner instructions.
  • Coordinate worker requirements involving classification, wage and hour rules, timekeeping, screening, accommodations, safety, confidentiality, and onboarding.
  • Document how personal or sensitive data is collected, accessed, transferred, stored, retained, and deleted; operationalize requirements involving notice, consent, access controls, and incident escalation.
  • Recognize when specialized legal, privacy, human resources, security, or technical review is required. This role coordinates expert guidance; it does not independently provide legal advice.
  • Maintain timelines, milestones, risks, dependencies, decisions, and launch-readiness checklists.
  • Lead meetings, assign owners, document decisions, and provide concise stakeholder updates.
  • Build lightweight playbooks, trackers, vendor scorecards, requirement matrices, and operating procedures.
  • Use spreadsheets, project-management tools, automation, or basic scripting to improve visibility and reduce manual work.
  • Support pilots and launches, resolve issues, and turn lessons learned into repeatable processes.
