About The Position

The Data Clerk Specialist provides administrative, data, and participant support to the WIOA-funded workforce development program. This position supports Case Managers and Program faculty with data entry, data processing, participant follow-up, documentation collection, supportive services coordination, additional clerical duties for the Employment Services Department and program tracking to ensure compliance with WIOA requirements, internal policies, and reporting standards

Responsibilities

  • Performs a variety of clerical and administrative tasks for the project including, but not limited to, entering, updating, and maintaining accurate participant data across multiple databases and case management systems
  • Establishes and maintains files and records, which may include clinical or other confidential materials
  • Review participant files to ensure all WIOA/Amity-required eligibility, enrollment, service, and outcome documentation is complete
  • Conduct outreach to students via phone, email, or in person to support follow-up, retention, and documentation collection
  • Collect, verify, upload, and track certifications, credentials, employment verification, and wage documentation
  • Support students in acquiring employment skills, preparing resumes, practicing interview techniques, and securing job placements.
  • Document all progress, services provided, and employment outcomes thoroughly in the student’s files and the Apricot data management system and additional data management systems required by programs
  • Document participants contact notes, services provided, milestones, and outcomes in a timely manner
  • Support preparation, submission, and tracking of Purchase Order (PO) requests for student support services
  • Assist with distribution of approved support services and obtain required participant signatures and acknowledgments
  • Maintain and update grant-specific tracking tools, dashboards, spreadsheets, and program boards
  • Assist Case Managers with data cleanup, error resolution, and deadline-driven reporting requirements
  • Support internal audits, monitoring visits, quality assurance reviews, and data validation efforts
  • Coordinate with program, finance, and compliance teams to ensure accurate tracking of services and expenditures
  • Provide general clerical and administrative support while maintaining strict confidentiality of participant information
  • Support additional programmatic, administrative, and data-related duties within the Employment Services Department as assigned
  • Assist with special projects, departmental initiatives, and cross-program support efforts as needed to meet operational and grant requirements
  • Attend workshops, campus, partner and department meetings, and training as requested by supervisor
  • Assist with preparing and monitoring excel sheets, certificates and documents necessary for the various programs and daily task within the department.
  • Attend and participate in Amity community building functions.
  • Actively develop and build upon creative and technical knowledge of TC (Therapeutic Communities) program activities.
  • Processes office and departmental supplies, insuring we have necessary items on a consistent basis
  • Performs and completes other related duties as assigned
  • Maintain punctual and regular attendance as an essential job function.
