About The Position

This position will be the first point of contact for our customers at our front desk and agency phone, providing them with assistance, information, and resolution to their questions and issues. This position plays a vital role in maintaining customer satisfaction, building relationships, and contributing to our company's success by delivering top-notch customer service. This position is responsible for sorting mail, receiving deliveries, coordinating conference space, and assisting the Office Management Supervisor with administrative functions.

Requirements

  • High school diploma or GED required.
  • Two or more years of experience in a clerical, data management or related field.
  • Previous experience working with Senior Management.
  • Proven experience as an executive administrative assistant or in a similar role.
  • Exceptional organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Discretion and ability to maintain confidentiality.
  • Proven experience in customer service or customer relations, with a demonstrated ability to handle professional customer interactions.
  • Excellent communication and interpersonal skills, characterized by compassion and empathy.
  • Strong problem-solving skills and the ability to navigate complex customer situations.
  • Independent and effective time management skills.
  • Dedication to delivering an outstanding customer experience.
  • Strong attention to detail, accuracy and follow-through.
  • Clear a Level II Background screening (Live Scan) in which your fingerprints will be used to conduct the screening.
  • Clear a reference check.
  • Clear a local background check from the County in which you reside.
  • Clear a substance abuse screen.
  • Provide a copy of all degrees prior to your first day of employment.
  • Clear an E-Verify check to substantiate that the successful candidate meets the Department of Homeland Security authorization requirements to work in the United States.

Responsibilities

  • Interact with customers via phone, email, or in-person to assist with inquiries and general support.
  • Address and resolve customer concerns, complaints, and requests promptly and professionally, ensuring a high level of satisfaction.
  • Scheduling and coordinating meetings, appointments, and travel arrangements as needed.
  • Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications, and handling inquiries when appropriate.
  • Schedule conference spaces and coordinate meetings in partnership with administrative leadership.
  • Book travel arrangements including conference registration, flights, accommodations, and transportation for employees/clients as needed.
  • Prepare and edit documents, reports, and correspondence as requested.
  • Maintain and organize electronic and physical files, ensuring information is easily accessible and secure.
  • Track and process expense reports for scheduled travel ensuring compliance with company policies.
  • Assist with special projects and initiatives providing administrative support as needed.
  • Handle sensitive information and always maintain strict confidentiality.
  • Other duties as assigned
