About The Position

This role requires the ability to split time 50/50 between sales activities outside the office and customer service representative (CSR) work inside the office. Responsibilities include preparing customer reports for tracking imports and exports, scheduling loads for pickup and delivery based on availability and vessel schedules, communicating service requirements to dispatch, updating operational notes in the SWS system, auditing driver documents, sending customers Proof of Delivery (PODs), managing missing document reports (MDR) and closed not invoiced (CNI) order status reports, and proposing/implementing procedures to improve customer service.

  • Must have port intermodal trucking knowledge/background.
  • Must have in-person sales experience with local/regional area contacts.
  • Customer relations ability to set up calls with customers as issues arise.
  • Understanding of the business to set trucker appointments with warehouse.
  • Able to track port ETA arrivals.

Responsibilities

  • Receive and enter orders, reviewing and noting rates and service requirements.
  • Track and trace import containers and schedule according to available capacity and available free time.
  • Track inbound vessels and schedule exports, ensuring cargo loading within the ERD & cut off.
  • Communicate with customers and operations regarding schedule changes and service issues.
  • Update orders in SWS with notes and adding accessorial services and charges.
  • Monitor and manage group and personal email accounts, ensuring prompt response to customer requests.
  • Communicate with and prepare reports for Key accounts (e.g., Goodyear, Caterpillar, K&N).
  • Assist with dispatch operations and collections as needed.
  • Gather and enter needed documents into SWS, ensuring prompt invoicing and driver settlements.
  • Manage and update customer portals (e.g., BLUME & EDI).
  • Greet and assist drivers making cargo pickups or deliveries to the facility.
  • Research warehouse cargo availability.
  • Assign drivers doors for cargo loading if cargo is released and available.
  • Alert and direct warehouse staff regarding loading and unloading of cargo.
  • Review Bills of Lading with drivers and acquire signatures.
  • Send documents (loading/unloading tally’s & BOL’s) to imaging.
  • Send documents to customers and request authorization for final charges.
  • File hard copies of documents in filing cabinets.
  • Assist truck dispatch as needed.
