About The Position

The Customer Service Representative serves as the first point of contact for residents, visitors, vendors, and staff. This position provides professional front desk coverage, responds to inquiries, manages phone and visitor traffic, and supports administrative and campus communication functions. This role requires excellent customer service, strong communication skills, and the ability to maintain a welcoming and organized front office environment.

Requirements

  • Must be 18 years old or older.
  • High School diploma or equivalent required.
  • Minimum 2 years’ customer service, reception, or front office experience.
  • Thorough documentation skills including grammar, spelling and organization.
  • If required to operate a company vehicle during the course of employment, must meet the requirements to be an eligible driver. Must possess a current State Driver’s License and have an acceptable driving record for the past three (3) years.
  • The ability to read, write and communicate to residents, staff, families, vendors, and all business relationships in English language.
  • Ability to pass a criminal background clearance check, drug screen, physical and TB test.
  • Able to work in excess of 40 hours per week (upon approval) with the possibility of a varied schedule.
  • Must have excellent organization and time supervisory skills.
  • Must demonstrate strong Customer service and hospitality skills.
  • Possess proficiency in Problem-solving and responsiveness.
  • Must be able to communicate with all levels of staff in an effective, neutral and professional manner.
  • Ability to function as a member of the team in a multi-task environment.
  • Must be flexible and able to handle multiple priorities, with the ability to adjust to high pressure and changing business conditions.
  • Proficient with Microsoft Office Suite and associated software.
  • The ability to ensure all written communications are accurate, clear and professionally presented.
  • Support digital and print formats, including bulletin boards, email updates, and internal newsletters.

Responsibilities

  • Greet residents, guests, vendors, and staff in a friendly and professional manner.
  • Provide information and assistance regarding campus services, events, and departments.
  • Respond to inquiries in person, by phone, or by email in a timely and courteous manner.
  • Address concerns and direct requests to the appropriate department or staff member.
  • Maintain a welcoming, helpful, and service-oriented environment.
  • Answer and route incoming phone calls through the campus phone system.
  • Monitor the front desk and ensure consistent coverage during scheduled hours.
  • Maintain visitor procedures and follow campus safety protocols.
  • Receive and distribute mail, packages, and deliveries promptly.
  • Monitor common areas near the front office and report concerns when necessary.
  • Assist with basic administrative tasks including filing, data entry, and document preparation.
  • Support IL communications by distributing announcements, newsletters, or notices.
  • Assist with posting and updating information boards or digital displays as needed.
  • Maintain organized records and office supplies for front desk operations.
  • Assist/coordinate with scheduling interviews/meetings.
  • Hold accountability to policy and the O’Connor Woods Mission and Core Values.
  • Promote a culture of safe work ethics, teamwork and unity with all other departments.
  • Attend all necessary company or department meetings.
