About The Position

Hackettstown Animal Hospital is seeking a friendly, reliable, and detail-oriented individual to join our team as a Full-Time Receptionist. As the first point of contact for our clients, this role is essential in creating a welcoming experience while keeping daily operations running smoothly. The ideal candidate is organized, tech-savvy, and able to multitask in a fast-paced environment. Hours: 30-35 hours per week, including Saturdays Compensation: $16-$18/hr depending on experience

Requirements

  • Previous veterinary or medical front desk experience preferred
  • Strong communication and customer service skills
  • Comfortable using computers, scheduling systems, and digital tools
  • Highly organized with strong multitasking abilities
  • Positive, team-oriented attitude
  • Ability to stay calm and efficient in a fast-paced environment
  • Availability to work 30-35 hours per week, including Saturdays

Responsibilities

  • Greet clients and patients warmly and professionally
  • Check clients in and out efficiently using our practice management system
  • Provide clear information about services, policies, and next steps
  • Schedule and manage appointments using digital scheduling software
  • Coordinate appointments across multiple doctors and technicians
  • Triage and prioritize urgent or same-day appointment requests
  • Answer incoming calls and respond to client inquiries professionally
  • Communicate with clients via phone, email, and text platforms
  • Relay messages accurately and promptly to medical staff
  • Maintain accurate and up-to-date digital patient records
  • Enter notes, update client information, and upload documents as needed
  • Assist clients with completing digital forms when applicable
  • Process payments (credit/debit, digital payments, cash)
  • Provide invoices, receipts, and basic billing support
  • Balance transactions and maintain accurate financial records
  • Assist with general administrative tasks such as data entry and document management
  • Support veterinarians and technicians with workflow coordination
  • Help maintain a clean, organized, and welcoming front desk area
