About The Position

This role blends customer care, lead follow-up, and enrollment support. You will be the first point of contact for our leads, guiding prospective families through their decision-making process, building relationships, and helping them confidently enroll in our programs. You’ll also support our current families while keeping day-to-day operations running smoothly behind the scenes. Requirements

  • Strong communication skills (phone, email, and text)
  • Excellent organization and time management
  • Ability to manage multiple tasks and systems simultaneously
  • Confidence in guiding conversations toward enrollment decisions
  • Willing to learn to use tools like ActiveCampaign (CRM), ClickUp (Task Management), RingCentral (Phone), Microsoft Outlook (email), and Jackrabbit Class (Student Database)

Nice To Haves

  • Previous experience in customer service, administrative support, or enrollment/sales is a plus

Responsibilities

  • Answer calls, texts, and emails with warmth and professionalism
  • Build relationships with prospective families and guide them toward enrollment
  • Consistently follow up and nurture our leads
  • Help families choose the right program – Kindermusik, Group Lessons, or Private Lessons
  • Enroll, schedule, and onboard new students
  • Support current families with scheduling, communication, and account needs
  • Track conversations, tasks, and follow-ups using our systems
  • Manage class enrollments and keep records organized and up to date
  • Assist with billing follow-ups and basic administrative tasks
  • Reconcile teacher invoices
  • Support weekly communications and general office operations
