About The Position

The Customer Service Correspondence Clerk is responsible for all correspondence paper/electronic lockbox return mail across the Hackensack Meridian Health (HMH) network. Duties include but are not limited to the distribution of mail. Will ensure timely assignment of correspondence/mail to team members. Acts as a liaison to the customer service/collections team while performing other duties as assigned. This position will be fully onsite 8:00am - 4:30pm.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum of 1+ years of experience in a related field.
  • Some business experience.
  • Excellent written and verbal communication skills.
  • Excellent telephone skills.
  • Excellent computer skills, preferably including but not limited to Microsoft Office and/or Google Suite platforms.
  • Successfully pass EPIC assessment completion within 30 days after Network access granted.

Nice To Haves

  • Hands on basic knowledge of the EPIC system.
  • Bilingual English./Spanish a plus.
  • Previous experience in the same or similar capacity in a hospital.
  • Experience in working in a high volume office environment.
  • Customer Service skills.

Responsibilities

  • Responsible for all correspondence, paper and electronic lock box mail received daily in the Customer Service department.
  • Screens mails for legal request, subpoenas, and bankruptcies etc. and distributes accordingly, reaching out to supervisor for guidance as needed to ensure mail delivery to appropriate parties.
  • Updates return mail patient demographics in EPIC using electronic files provided by the statement vendor.
  • Logs on to the phone system when call Queue is high, takes messages for customer service reps for patient call back.
  • When logged on to the phone system, when appropriate will take and apply patient payments via EPIC encrypted device or bank portal.
  • Documents all patient payment transactions and patient conversation in EPIC.
  • Submits requests for medical records, reactivates accounts from history, and drops itemize bills and UBs upon request.
  • Prepares and submits incoming checks to the Cashier within 24 hours of receipt.
  • Works assigned WQs in a timely manner.
  • Covers lobby front desk as needed.
  • Handles all clerical functions for the department which might include but is not limited to, faxing, scanning and emailing documents to attorneys/agencies etc.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.
