About The Position

The Customer Service Assistant will provide administrative support for the Business and Community Solutions department at the Town Clock Center. This role involves assisting with various tasks related to program preparation, student registration, customer service, and data management. The assistant will support program developers, operations program managers, and college and career coaches, and participate in team meetings and college committees. A key aspect of the role is maintaining high-quality customer service and supporting strategic planning initiatives.

Requirements

  • Associates Degree preferred, related work experience and/or post-secondary education preferred.
  • Must possess a valid driver’s license.
  • Must possess strong computer/database management skills including accounting/ bookkeeping practices.
  • Calculating, posting and verifying financial data for using in managing account records.
  • Advanced level of proficiency in Microsoft Excel, Word, and PowerPoint.
  • Must possess excellent interpersonal skills, customer service, and organizational abilities.
  • Must have strong written and oral communication skills and competent proofreading skills.
  • Must possess strong knowledge of office practices and procedures.
  • Must have the ability to maintain confidentiality with student/employee demographic information.

Responsibilities

  • Assist with correspondence, reports, contracts, handouts, applications, and spreadsheets.
  • Prepare class and conference materials, including creating packets, assembling instructional materials, printing nametags, table tents, and certificates.
  • Assist with student registration in Modern Campus Lumens software and process financial transactions (transfers, cancellations, refunds).
  • Answer and triage calls for Business and Community Solutions.
  • Perform front desk receptionist duties, including greeting customers and directing them to appropriate services at various campus locations.
  • Maintain general Business and Community Solutions program and instructor files.
  • Enter data for class attendance, grades, class evaluations, and student profiles.
  • Build proposals, contracts, and classes for CPR programming into Modern Campus Lumens Software.
  • Assist with oversight of program inventory (textbooks, binders, health equipment, supplies).
  • Pack and organize equipment and supplies for classes and process post-class paperwork.
  • Assist instructors with technology in classrooms, including prepping equipment and providing troubleshooting support.
  • Pack and organize deliveries for contracted classes.
  • Assist with print shop requests.
  • Assist with the Tri-State Emergency Responder conference by gathering supplies, name tags, sponsor lists, and providing onsite registration assistance.
  • Assist with Kids on Campus by gathering supplies, preparing name tags, labeling t-shirts and tote bags, and helping with set up and clean up, including providing onsite student supervision.
  • Provide direct administrative support to Program Developers, Operations Program Managers, and College and Career Coaches.
  • Provide backup support for daily deposits and financial reporting.
  • Participate in Customer Service Assistant team meetings, divisional meetings, and other assigned committees.
  • Participate in professional development training and opportunities to maintain high-quality customer service.
  • Provide administrative support to the Strategic Planning Team, including note-taking, scheduling meetings, report generation, and follow-up calls.
