CTE Treasurer / Grant Specialist

About The Position

This position is primarily responsible for managing the financial aspects of the federal Carl D. Perkins grant for CTE. Additionally, this position will serve as the Treasurer for the LPCCTE campuses and staff. Ideal candidates would be detail oriented, comfortable using computer software applications and spreadsheets, and have some experience with either financial record keeping or grant management. This position is part-time only with a highly flexible schedule. The specialist will work with the CTE Director to establish a consistent work schedule to cover 2-3 days or 15-22.5 hours per week. Grant requirements and reporting deadlines may periodically require additional hours (up to 29.5).

Requirements

  • Minimum High School Diploma or equivalent required.
  • Demonstrates attention to detail and ability to maintain accurate financial records required.
  • Ability to work independently and meet strict deadlines for state and federal reporting.
  • Proficient with computer software applications and spreadsheets.
  • Maintains a professional and friendly demeanor and the ability to work well with a diverse population.
  • Strong communication skills (speaking and writing)
  • Maintain confidentiality at all times

Nice To Haves

  • Prior experience with bookkeeping or grants management preferred.

Responsibilities

  • Assist CTE Directors with the budget monitoring and reporting requirements.
  • Prepare and submit monthly Perkins grant invoices and reimbursement requests.
  • Establish and maintain bookkeeping for CTE extra-curricular accounts and programs
  • Process and manage all purchase orders and requisitions, including ordering materials, verifying receipt and accuracy of ordered materials, maintaining adequate supplies, and distributing to CTE programs
  • Coordinate fundraising activities for all CTE staff and programs, including information distribution and payment collection
  • Ensure compliance and adherence to internal controls with all grant requirements, guidelines, and deadlines
  • Serve as the liaison with the LEA’s finance office to establish and monitor grant accounts and to ensure timely payment to vendors
  • Prepare all monthly and year-end financial reports for CTE grants and accounts
  • Coordinate with appropriate agencies and auditors during the audit process for maintained accounts
  • Manage CTE industry credentials testing materials, including processing payments, maintaining financial records, and preparing required reports for submission
  • Prepare donation collection letters and receipts
  • Complete bank deposits as needed and required
  • Order and maintain general office supplies for the building and programming
  • Manage vending machines
  • Support the CTE Secretary in supervising and managing the CTE office as needed.
  • All other reasonable duties assigned by CTE Directors
