We are building a best-in-class organization and are looking for a key team member to support our growing CRM ecosystem and the orthodontic partners who rely on it every day. As the CRM Specialist, you will play a key role in ensuring our systems, automations, and processes work as intended and support the full orthodontic patient journey across our partner practices. This role is ideal for someone who easily picks up systems and enjoys understanding how things connect. Under the guidance of leadership, you will help manage and build CRM automations, think through if/then logic, troubleshoot issues, and act as a guide for our partners as they navigate CRM workflows. While you do not need to be a developer, a basic understanding of integrations, data flow, and webhooks is important for success in this role. While the CRM Specialist works closely with marketing initiatives, this is not a creative marketing role. The focus is on process, structure, and execution—supporting partners, maintaining clean and functional systems, and ensuring our CRM supports both operational needs and patient experience within a fast-paced, collaborative, private equity–backed organization.

Requirements

  • A qualified candidate should be a systems-minded professional with strong problem-solving skills and experience supporting users within CRM-driven environments with the following minimum competencies:
  • 1 years of experience working with a CRM or similar system-based platform (ActiveCampaign experience a plus)
  • Experience supporting users, partners, or internal teams in a systems, operations, or technical support capacity
  • Comfort working with logic-based workflows, automations, and structured processes
  • Ability to manage multiple requests and priorities in a fast-paced environment
  • Willingness to travel up to 45% overnight for training, onboarding, or partner support as needed

Nice To Haves

  • Dental or orthodontic industry experience
  • Experience supporting multi-location or multi-practice organizations
  • Project management experience or familiarity with structured workflows and documentation

Responsibilities

  • Provide ongoing CRM support to partner practices, including answering questions, troubleshooting system issues, and guiding teams through CRM workflows and best practices
  • Support the management and execution of CRM automations under the guidance of leadership, including validating logic, testing outcomes, and identifying issues
  • Assist with onboarding and training practice teams to ensure strong adoption and understanding of CRM pipelines, automations, and communication tools
  • Contribute to documentation, guides, and training resources that simplify CRM processes and make systems easier for partners to use and understand
  • Serve as a primary point of contact between partner practices and CRM leadership, helping translate practice needs into system solutions and escalating issues as needed
  • Help identify gaps, errors, and process breakdowns that impact data cleanliness, accuracy, and consistency across practices
  • Collaborate cross-functionally with Marketing, Operations, IT, and clinical leaders to ensure CRM workflows support overall patient experience and organizational goals
