About The Position

Coordinates the overall credentialing/information technology process for physicians and limited health professionals at appointment/reappointment for the Department. Assists the Administrative Director in the development/ maintenance of procedure manuals for credentialing and medical staff information technology processes. Prepares on-call schedules, agendas for and attends Department and Committee meetings, records minutes, transcribes minutes from shorthand or dictaphone in final copy, and assists the Administrative Director and Medical Staff with other duties as outlined and required.

Requirements

  • High school graduate and completion of a two-year medical secretarial program, including courses in medical terminology, pharmacology, executive secretarial practice, shorthand, accounting, and computer/word processing courses with various applications.
  • Certified Professional in Medical Staff Services Management (CPMSM) and/or Certified Provider Credentialing Specialist (CPCS) required.
  • Two (2) years of experience in medical staff services or hospital administration with extensive credentialing experience and a minimum of one (1) year experience with hospital regulatory agency requirements; minimum two (2) years acceptable experience in coordinating MedicalStaff Line--ECHO (Healthline Systems) physician management/credentialing databases.
  • Experience in medical and administrative minute-taking.
  • Typing 75 wpm, Shorthand 120 wpm or shorthand 80 wpm with equivalent transcription speed at 120 wpm with a laptop computer.

Responsibilities

  • Takes dictation and transcribes from shorthand and/or dictation equipment.
  • Telephone communications including answering telephone & taking/relaying messages.
  • Maintains provisional Medical Staff review appointments/ information, notifies supervising physician, and prepares necessary correspondence promptly.
  • Displays initiative in completion of job duties.
  • Prepares continuous performance improvement reports in accordance with established procedures for all assigned Committee/Departments.
  • Assists the Administrative Director in organizing the Physician Orientation Program through planning & maintenance of necessary documents to be provided to new Staff (as needed)
  • Performs routine office work as directed by the Administrative Director. Type letters, memos, etc., accurately and timely. Takes dictation, transcribes notes, and distributes outgoing correspondence accurately and timely.
  • Timely makes all Board of Directors' letters recommended changes in Medical Staff/Limited Health files, respective office manuals & notifies necessary individuals of such changes.
  • Responsible for attending General Medical Staff Meetings, preparing agenda, recording, composing & transcribing minutes.
  • Assists the Administrative Director in compiling information for various agencies and/or Hospital departments, correspondence, schedules, etc.
  • Maintains individual physicians' attendance profiles and prepares the Annual Attendance report.
  • Prepares all statistical reports requested from the Department, specifically for the Department of Health, Insurance Carriers, JC, and Trauma Foundation.
  • Responsible for coordinating the overall credentialing process for Medical Staff and Limited Health Professionals preapplications, applications, reappointment applications, requests for changes in privileges, achievement recognitions & resignations in accordance with established standards of practice for the Health System and Surgery Center. Develops and maintains Credentialing Procedure Manual with the Administrative Director for the Health System and Surgery Center. Prepares information to be submitted to preapplicants, applicants, and/or reappointment applicants and processes according to procedure. Verifies all documents received accurately and in a timely manner according to procedure. Coordinates required interviews. Prepares all documentation to be submitted to the Credentials Committee for review and properly prepares a new individual file in an organized manner according to procedure. Assists in the supervision/training of all employees involved in the credentialing process.
  • Assists with the preparation for Executive Committee meetings.
  • Responsible for preparation of agendas for assigned Departments/Committees; attends (as required), records and transcribes minutes/correspondence, such assignments may be added to or deleted from, as deemed necessary by the Administrative Director.
  • Assists the Administrative Director in preparing for all Hospital surveys by JC, AOA & Department of Health, as appropriate.
  • Attends to details for social functions of the Medical Staff as assigned by the Administrative Director.
  • Responsible for the timely completion of on-call schedules, which include physician coverage, scheduling, etc., for assigned Medical Staff Departments. This includes recording and distribution of any/all changes made to the same.
  • Responsible for the Computerization Software/Hardware for the Department, maintenance & coordination of a system for the same, and supervision of employees using this system under the direction of the Administrative Director. Includes ensuring that our medical staff management database system is up-to-date and policies are revised for training other employees with upgrades; coordinates report development and ensures that all data is entered in the system correctly for interoffice and hospital-wide network use.
