About The Position

The Credentialing Coordinator is responsible for managing the credentialing process for physicians and neurodiagnostic technologists within INN's IONM and EEG services. This role involves overseeing each clinician's credentialing lifecycle, from onboarding to separation, ensuring all necessary documentation, including state licensure, hospital privileges, reappointments, and renewals, are up-to-date. The Coordinator acts as the main point of contact for clinicians and facilities, maintaining accurate records in the credentialing management system and proactively addressing any potential lapses in credentials or privileges.

Requirements

  • 1–2 years of healthcare administrative, medical office, HR, or comparable coordination experience
  • High school diploma or GED
  • Proficiency with office productivity software, including word processing, spreadsheets, email, and cloud-based document sharing
  • Understanding of provider credentialing, hospital privileging, and state licensure processes, or the ability to learn them through training
  • Familiarity with primary source verification requirements and acceptable verification sources, or the ability to learn them through training
  • Awareness of TJC standards for licensed practitioners and of privacy obligations for sensitive personal data
  • Detailed document review skills: catching errors, missing items, and inconsistencies
  • Clear, professional writing and phone communication skills
  • Working proficiency with databases, spreadsheets, and shared document systems
  • Accurate data entry and record keeping
  • Ability to manage a large volume of deadlines and keep items from lapsing
  • Ability to prioritize work when competing demands arise

Responsibilities

  • Coordinate credentialing for assigned physicians and neurodiagnostic technologists, covering onboarding through separation.
  • Manage state licensure, hospital privileges, reappointments, and renewal of time-limited credentials.
  • Maintain credentialing records in the credentialing management system, ensuring accuracy and readiness for inspection.
  • Monitor expiration dates for licenses, board certifications, CNIM, R. EEG T., R.EP T., BLS/CPR, professional liability coverage, and facility-specific requirements.
  • Initiate renewals within established lead times to prevent credential lapses and escalate renewal risks.
  • Process privilege relinquishment notices and update credentialing files when clinicians leave INN or stop covering a facility.
  • Build and maintain productive relationships with assigned clinicians, their administrative staff, and INN's technologists.
  • Communicate credentialing requests clearly and efficiently to minimize disruption to clinical work.
  • Complete and submit initial and reappointment applications for hospitals and surgery centers, including credentialing-by-proxy applications.
  • Build and maintain productive working relationships with client medical staff offices, serving as their primary contact.
  • Respond promptly to credentialing questions and follow applications through to approval.
  • Prepare initial and renewal state license applications, including Interstate Medical Licensure Compact applications.
  • Follow up with licensing boards and clinicians to ensure license issuance.
  • Maintain complete and current credentialing files through primary source verification.
  • Prepare files for review on schedule and track reappointment due dates.
  • Perform primary source verification for licensure, board certification, education, training, work history, NPDB queries, and OIG/SAM exclusion screening.
  • Document verification results, dates, and sources according to INN policy and TJC standards.
  • Complete time-sensitive re-verifications at reappointment and upon renewal of expiring credentials.
  • Compile and file FPPE and OPPE documentation for licensed practitioners.
  • Escalate discrepancies, adverse findings, or gaps in history to the Credentialing Supervisor.
  • Coordinate technologist credentialing, including onboarding activities, orientation meetings, and facility stakeholder coordination.
  • Provide status reports on assigned clinicians to the Credentialing Supervisor.
  • Escalate issues that threaten a clinician's ability to provide patient care.
  • Communicate license, privilege, and credentialing updates to Operations, payer enrollment, leadership, and other stakeholders.
  • Provide credentialing records and status reports as requested.
  • Monitor changes in credentialing requirements and recommend updates to processes.
  • Participate in internal file audits and fulfill TJC and client hospital survey requests.
  • Identify workflow bottlenecks and suggest improvements to templates, tracking, and procedures.
  • Participate in credentialing team meetings and contribute to team goals.
  • Carry out management decisions and adjust to changes in priorities, processes, and assignments.
  • Contribute to a team environment built on trust, respect, and shared workload.
  • Handle Social Security numbers, dates of birth, licensure histories, and NPDB results confidentially.
  • Protect login credentials and follow INN security practices.
