We are looking for a highly organized, detail-driven Creative Producer to own the operational and logistical execution of our content productions from concept through delivery. This role sits at the intersection of creative and operations — you are the person who makes shoots happen on time, on budget, and with everything in its place. This role requires travel, including on-location and out-of-state shoots. Working directly with the Senior Director of Creative, you will manage every moving part — budgets, crew, locations, schedules, vendors, props, and post-production handoffs — so the creative team can stay focused on the work. You’re the kind of person who thrives on building systems, anticipating problems before they arise, and keeping every moving part running smoothly. You bring a calm, solutions-first presence on set and the organizational discipline to manage multiple productions simultaneously without dropping a detail. The ideal candidate has hands-on production experience in a content, agency, or brand environment, a strong command of production budgeting and vendor management, and the communication skills to keep creative, marketing, and operations teams aligned at every stage of the production process.

Requirements

  • Bachelor’s degree in Film Production, Communications, Marketing, or related field — or equivalent hands-on production experience.
  • 3–5+ years of production experience in a brand, agency, or content studio environment with a proven track record managing photo and video productions end to end.
  • Demonstrated experience building and managing production budgets, processing expense reports, and reconciling shoot financials.
  • Experience coordinating crew, talent, and freelance contractors across multiple simultaneous productions, including location scouting, permitting, and vendor management.
  • Proficiency in project management tools (Google Workspace, Asana, Monday.com, Frame.io, or comparable) and strong budget tracking skills in Excel or Google Sheets.
  • Experience with call sheet and scheduling tools (StudioBinder, Celtx, or similar) and familiarity with digital asset management best practices.
  • Exceptionally organized with the ability to manage multiple productions, vendors, and stakeholders simultaneously without losing precision or urgency.
  • Calm under pressure with a proactive, problem-solving mindset — you anticipate what could go wrong and resolve it before it disrupts the shoot.
  • Strong communicator — clear and timely with internal teams, vendors, talent, and contractors.
  • Collaborative by nature, supporting the creative director’s vision while owning all operational details independently.
  • High ownership mentality — you treat every shoot as your production and hold yourself accountable for outcomes, not just tasks.

Responsibilities

  • Own production budgets from initial estimate through final reconciliation — building detailed cost breakdowns by shoot, tracking actuals in real time, and flagging variances before they become overruns.
  • Prepare pre-production estimates for all shoot types incorporating crew, talent, location, equipment, props, and post-production costs.
  • Manage all shoot-related purchasing and collect, organize, and submit receipts, reimbursements, and expense reports for every production — maintaining clean, audit-ready financial records by shoot and budget line.
  • Partner with Finance and the Senior Director of Creative to report on production spend, reconcile post-shoot budgets, and identify cost efficiencies across the production calendar.
  • Source, scout, and secure shoot locations aligned with creative direction and budget — managing location agreements, access coordination, permitting, and on-site logistics.
  • Identify, vet, and coordinate external vendors including equipment rental, prop stylists, catering, and transportation — negotiating rates and managing relationships to deliver quality within budget.
  • Oversee production shipping, receiving, and inventory — coordinating delivery and return of products, props, wardrobe, and equipment, and maintaining a tracking system for reusable shoot assets.
  • Build comprehensive production schedules, shoot timelines, and call sheets for every project — including crew and talent call times, location details, shot lists, and day-of contacts.
  • Organize all pre-production logistics including product pulls, prop procurement, wardrobe sourcing, and set dressing — ensuring everything is confirmed and staged before shoot day.
  • Manage the production calendar across simultaneous projects — coordinating shoot dates, crew availability, and location holds — and proactively resolve conflicts before they impact execution.
  • Coordinate crew, talent, freelancers, and contractors for every production — managing outreach, availability, agreements, call times, and on-set communication from booking through wrap.
  • Prepare and process talent and contractor agreements, ensuring all paperwork is executed and filed prior to shoot day.
  • Build and maintain a roster of trusted freelance crew, talent, and vendors — tracking performance, availability, and rates for fast, efficient booking.
  • Support the Senior Director of Creative on set — managing day-of logistics, monitoring schedule adherence, overseeing set flow and transitions, and solving problems in real time.
  • Manage on-set purchasing and petty cash — tracking day-of expenses, collecting receipts, and reconciling spend against the approved budget immediately following each shoot.
  • Manage post-production handoffs — organizing and transferring footage, photos, and assets to editors and retouchers with clear naming conventions, delivery notes, and turnaround expectations.
  • Track post-production schedules, revision cycles, and final deliverable deadlines — maintaining organized asset libraries by shoot, project, and content type accessible to creative and marketing teams.
  • Build and maintain efficient production systems — intake processes, shoot checklists, vendor templates, budget trackers, and post-production handoff protocols — that scale with Just Ingredients’ content output.
  • Develop standardized production documentation including call sheet templates, budget frameworks, vendor agreements, and shoot wrap reports that improve consistency across productions.
  • Maintain clear, proactive communication across creative, marketing, and production teams, ensuring all stakeholders are aligned on schedules, deliverables, and status at every stage.
