About The Position

A major non-profit organization with a focus on international politics is seeking an organized and detail-oriented individual to join their Communications team as a Creative Operations Coordinator. This role will assist the team with day-to-day operations surrounding the production of event content. The Creative Operations Coordinator will help manage evolving content requests to ensure efficiency and effectiveness, utilizing project management tools and collaborating with multiple teams to ensure strong communication and delivery of creative assets. This individual will also manage various administrative tasks.

Requirements

  • Minimum of one-year of experience working as salaried or full-time temporary staff in a creative services or marketing environment within a corporate, non-profit or government agency setting.

Nice To Haves

  • Bachelor’s degree in a relevant field preferred, or commensurate experience working in a titled project management role, or administrative role with clearly defined project management responsibilities.
  • Previous experience using Monday.com, Smartsheets, SAP Concur or other similar project management and expense management applications is considered a significant value add.

Responsibilities

  • Project management: Help manage projects for a variety of events, including one larger program. Ensure projects are set up for efficient team workflows. Serve as a resource for troubleshooting.
  • Resource coordination: Assist in coordinating workflow, including research, logistics, video and presentation assets and production of creative projects overall.
  • Administrative Tasks: Schedule pre-production meetings, arrange transportation, manage the processing of receipts through SAP Concur, and other production-oriented administrative duties.
  • Team collaboration: Facilitate a high level of communication and collaboration among internal and external team members, including: operations, film crews, speakers, events, writers and post-production specialists. Coordinate with team members to ensure alignment on and adherence to project goals, timelines, and deliverables through project launch meetings.
  • Asset Management: Assist with finding and compiling of video assets, including archival materials and personal photos and documents. Upload relevant videos and copy to internal asset catalog for reviews and rehearsals. Assist with updates and developments to the asset management database.
  • Meeting Assistance: Arrange project launch and ad hoc meetings, along with rehearsal room details, ensuring that minutes are taken, and action points communicated. Handle administrative tasks such as scheduling meetings, budget and maintain project documentation.
  • Some opportunities for domestic, work-related travel may be presented.
