About The Position

The Court Clerk I, Court Clerk II, and Senior Court Clerk positions perform a variety of administrative duties pertaining to the coordination and operations of the Municipal Court, including managing court records and procedures. These roles involve producing accurate and high-quality work efficiently, managing interruptions, and prioritizing workload. The positions require a high degree of ethics and professionalism due to interaction with confidential information. Specific duties vary by level, ranging from basic administrative tasks and public interaction to assisting judges, managing case files, training new staff, and serving as a liaison to external agencies.

Requirements

  • High school diplomas or GED
  • One year of office support, clerical, or secretarial work (for Court Clerk I)
  • NCIC certification or the ability to obtain certification within six months.
  • College coursework in an administrative support program with an emphasis in the legal field may substitute for the work experience requirement.
  • Two years of experience performing office, clerical, secretarial, or legal work (for Court Clerk II and Senior Court Clerk)

Responsibilities

  • Performs duties pertaining to the court.
  • Advises attorneys, agencies, and the public on the status of cases; provides procedural information; answers inquiries and explains filing processes; explains fees and fines; assists individuals in locating material and information.
  • Greets and serves the public at the counter and on the telephone; responds to inquiries in a professional and courteous manner; and provides information within scope of knowledge and authority.
  • Applies court policies, procedures, documents, and terminology according to standard operating procedures.
  • Pulls files to prepare for court.
  • Enters new cases into Incode.
  • Scans all court documents into system upon disposition of the case.
  • Contacts attorneys and/or pro-se defendants on scheduling matters.
  • Analyzes situations and resolves discrepancies.
  • Performs a variety of office and court support work.
  • Disburses monies to accurately balance receipts and prepares monies for deposit; runs reports in the morning and submits to the finance department; and resolves any payment discrepancies between finance and system of record.
  • Inputs license tag information manually into system of record for each vehicle.
  • Mails notice of non-compliance for all unpaid parking tickets.
  • Opens and sorts mail and remits payments to proper accounts.
  • Ensures that bench warrants are recalled upon payment or appearance in court.
  • Runs case management within system of record to ensure all convictions have proper dates.
  • Processes jail commitments, works release orders, and furloughs orders for defendants who are remanded to jail.
  • Assists Judge and Prosecutor.
  • Assists the judge to carry out the functions of the court by scheduling court hearings.
  • Prepares, maintains, verifies, and distributes court calendars, warrants, dockets, and related case files for review according to established procedures.
  • Performs data entry on parking, traffic and criminal cases.
  • Assists and provides training for new court clerks.
  • Provides daily operating oversight of video court.
  • Provides necessary training for other staff members in relation to use and operation.
  • Assists the Court Administrator with oversight and support of the case management system.
  • Maintains and manipulates various databases to track deadlines, cases and other data, and provide appropriate notifications.
  • Runs conviction report for filing to the state.
  • Serves as a liaison to the Riley County Sheriff’s Office (Jail).
  • Coordinates the in-custody docket with the Jail, warrant officers, public defenders, and interpreters.
  • Serves as a liaison to the bonding companies.
  • Communicates pending forfeitures and processes such payments.
  • Enters and edit final dispositions into KCJIS module.
  • Utilizes OpenFox to obtain registered vehicle owner for parking violations.
  • Compiles and submits conviction, suspension, and reinstatement data to Driver Solutions.
  • Complete monthly warrant audits and regular warrant purges.
  • Acts as point of contact for persons or groups outside of the organization; answers questions and responds to complaints.
  • Performs day-to-day administration of case collections by collecting and referring cases to the contracted collection agency.
  • Assists the Court Administrator by providing input on office policies, procedures, and culture and by serving as a resource and support to other court clerks.
  • Trains staff on new processes and/or procedures.
  • Serves as a back-up to the court clerk I and II.
  • Provides backup assistance to Court Administrator in their absence.
  • Participates in the hiring process of new court clerks, document processing and courtroom operations; assists in oversight of daily tasks of clerks and provides input on evaluations.
