About The Position

The Course Coordinator Specialist supports efforts to align program-level competencies with individual course and clerkship objectives to be achieved by our medical students. The Course Coordinator Specialist contributes to our responsibility for the detailed design, integration and implementation of all components of a medical curriculum that enable our medical students to acquire and demonstrate all competencies and objectives. The Specialist is responsible for assisting with the day-to-day operations of assigned learning activities (e.g., lectures, small groups), ensuring smooth curriculum delivery and serving as a central point of contact for faculty and students. This role ensures that course logistics, scheduling, and academic processes run efficiently, while supporting both teaching and learning.

Requirements

Bachelor’s degree in education, science education, educational psychology, social work, student affairs, special education, basic sciences, or related field OR Associate’s degree AND two (2) years of relevant work experience OR High School diploma or equivalent AND four (4) years of relevant work experience.

Responsibilities

Assist faculty, course directors, and course coordinators with learning management systems (e.g., SOLE) to maintain students’ academic progress (e.g., exam grades) and records.
Assist faculty, course directors, and course coordinators to schedules rooms for learning events.
Assist faculty, course directors, and course coordinators to manage and populate course materials (e.g., recorded lectures) into learning management systems.
Schedule and implement meetings with faculty, course directors, and course coordinators to monitor the integration and coordination of content across all courses.
Assist faculty, course directors, and course coordinators with scheduling and coordinating learning events and securing instructional spaces. Work to resolve scheduling conflicts with the appropriate course leadership.
Coordinate lecture recording requests; assist with course setup in learning management systems; provide basic educational technology support.
Serve as a point of contact, as needed, for student–faculty communication on course materials, assessments, requirements, updates, and assignments.
Assist with curriculum mapping efforts (e.g., tagging content) to generate curriculum inventory reports to aid the Curriculum Committee in the oversight of the objectives, structure, content, teaching, management, organization, and evaluation of the educational program leading to the MD degree.
Assist faculty, course directors, and course coordinators with building and administering assessments (e.g., block exams); enter grades with oversight; prepare grade reports; collect and relay course and faculty evaluations with systems like E-Value.
Coordinate proctoring examination schedules across a team of course coordinators and faculty.
Serve as a proctor and maintain standards for testing and evaluation, as detailed in the Exam Proctoring Policy.
Oversee the implementation and proctoring of make-up assessments, such as delayed examinations.
Participate in continuous quality improvement initiatives and respond to student concerns; collaborate on curriculum design and analysis.
Contribute to curriculum-related projects and events (e.g., annual curriculum and curriculum phase reviews) and other duties as assigned.
Travel to regional campuses and other venues as necessary.
