About The Position

We are seeking a highly skilled Correspondence Manager with extensive experience supporting senior leadership within the Department of War (DoW), Joint Staff, or Service-level staff offices. In this role, you will use your experience to oversee correspondence and task management across the customer organization. This position is the central coordination point between higher-level and subordinate offices for the assignment, tracking, and completion of tasks, as well as the timely submission of required products. The ideal candidate is highly organized, detail-oriented, and able to manage multiple actions simultaneously while maintaining clear communication across stakeholders. This is a pivotal role that supports critical defense operations and strategic decision-making at the highest levels.

Requirements

  • 5+ years of experience working for the DoW or a Joint Staff office
  • Experience developing deliverables such as executive-level briefings, information papers, and presentations
  • Experience managing executive correspondence, tasks, action tracking, or staff coordination in a DoW or Joint Staff environment
  • Experience with administrative and tracking tools used for correspondence and workflow management
  • Ability to evaluate and oversee project execution across near-term, mid-term, and long-term assignments
  • Ability to manage multiple priorities under tight deadlines
  • Ability to review and refine written products for clarity, accuracy, and professionalism
  • Secret clearance
  • Bachelor’s degree

Responsibilities

  • Serve as the primary correspondence and task management lead for industrial resilience in the DoW.
  • Coordinate between higher headquarters and subordinate or supporting offices to assign, monitor, and close out taskings.
  • Track suspense dates, required deliverables, and staffing timelines to ensure timely completion of actions.
  • Manage the submission of products associated with assigned tasks, ensuring accuracy, completeness, and compliance with office standards.
  • Maintain visibility on all incoming and outgoing correspondence, taskers, and action items.
  • Communicate clearly with internal and external stakeholders to resolve issues, clarify requirements, and keep leadership informed of task status.
  • Review correspondence and staff packages for format, completeness, and adherence to established guidance.
  • Develop and maintain internal tracking systems, processes, and reporting mechanisms for correspondence and task management.
  • Provide leadership with status updates, risk areas, and recommendations for improving workflow efficiency.
  • Support the office in maintaining disciplined staff processes and effective coordination across multiple organizations.
