JOB SCOPE: The Corporate Office/HR Administrator is responsible for providing comprehensive administrative, office management, and human resources support to ensure a professional, efficient, and well-organized corporate environment. This role serves as a central point of coordination for front office operations, facilities, vendors, mail and shipping, security access, and HR administrative processes. This role requires a high degree of professionalism, discretion, and attention to detail while supporting executives, employees, and visitors and maintaining alignment with company policies, compliance requirements, and organizational values. The position is a culture ambassador and should exhibit the essence of what it means to live the culture of CARE.

Requirements

  • 3–5+ years of experience in office administration, HR administration, or corporate operations
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, Power Point) and Canva.
  • Excellent organizational, time-management, and multitasking skills, written and verbal communication skills.
  • High level of professionalism and confidentiality.
  • Ability to work independently and collaboratively across departments.
  • Must be able to safely lift & carry up to 50 lbs., climb step ladders, and perform other physical tasks related to event set up, breakroom restocking and package/delivery handling.

Nice To Haves

  • Experience supporting Human Resources functions.
  • Familiarity with HRIS systems, security access platforms, and vendor portals.
  • Corporate headquarters or multi-location experience with prior experience supporting executive leadership.

Responsibilities

  • Serve as the primary point of contact for visitors, vendors, and callers.
  • Answer and route incoming calls; manage reception and visitor flow.
  • Schedule and coordinate conference rooms, meetings, and training spaces.
  • Maintain corporate directories, phone lists, and employee contact information.
  • Provide professional representation of the organization at all times.
  • Manage office supply inventory and place orders as needed.
  • Coordinate janitorial services, building maintenance, and vendor support.
  • Monitor office equipment, printers, postage systems, and shared resources.
  • Oversee office cleanliness, breakroom supplies, and common areas.
  • Coordinate safety and compliance inspections (AEDs, fire extinguishers, first aid supplies).
  • Maintain breakroom replacements and restock inventory, including weekly Costco, coffee & other deliveries.
  • Process, distribute, and track incoming and outgoing mail (USPS, FedEx, UPS).
  • Manage postage systems and shipping accounts.
  • Ensure secure handling and routing of checks and sensitive documents.
  • Coordinate document storage, shredding, and off-site records management.
  • Receive, review, and route invoices for processing and payment.
  • Maintain organized records of invoices, payments, and supporting documentation.
  • Coordinate with Accounts Payable and Finance on vendor inquiries.
  • Monitor recurring vendor accounts for accuracy and discrepancies.
  • Maintain building access, badges, key fobs, and security codes.
  • Coordinate access for new hires and deactivation for departing employees.
  • Support parking assignments and office access protocols.
  • Assist with security system administration and compliance requirements.
  • Support HR operations including onboarding logistics and offboarding coordination.
  • Assist with preparing workspaces and materials for new hires.
  • Maintain HR personnel files and administrative documentation.
  • Support employee life-event tracking (birthdays, anniversaries, service awards, condolences).
  • Assist with HR reporting, audits, and compliance documentation as needed.
  • Handle sensitive HR, financial, legal, and executive information with discretion.
  • Ensure adherence to company policies, SOPs, and record-retention requirements.
  • Model organizational values and maintain a professional corporate environment.
  • Assist with executive scheduling, travel coordination, and reporting.
  • Support leadership communications and administrative requests.
  • Assist with coordination of company meetings, training sessions, and employee events.
