About The Position

American Track, LLC, a North American Rail Solutions (NARS) company, is seeking a highly organized and professional Corporate Administrator to support daily office operations and serve as a primary point of contact for employees, visitors, and external partners. This role provides comprehensive administrative support across multiple departments, while ensuring a well maintained, efficient, and welcoming office environment. The Corporate Administrator contributes to smooth operational workflows, accurate documentation, and positive workplace experience.

Requirements

  • High School Diploma or equivalency required
  • 1-3 years of experience in an administrative, receptionist, or office support role.
  • Strong verbal and written communication skills.
  • Professional demeanor with excellent customer service and interpersonal abilities.
  • Proficiency with standard office software and electronic document management systems.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High attention to detail and accuracy in documentation and recordkeeping.
  • Ability to maintain confidentiality.
  • Demonstrated reliability, initiative, and ability to work both independently and collaboratively.
  • Commitment to maintaining a clean, orderly, and professional office environment.

Nice To Haves

  • Experience supporting HR, Safety, or other corporate functions highly preferred.
  • Experience supporting multi-location office operations preferred.

Responsibilities

  • Welcome and assist visitors; maintain visitor logs and complete required security procedures.
  • Answer, screen, and route incoming calls with professionalism and discretion.
  • Coordinate meeting logistics, including room scheduling, preparation, and hospitality needs.
  • Provide cross-departmental administrative support, including document organization, record maintenance, scheduling assistance, event coordination, and support for special projects.
  • Maintain clean, organized, and presentable common areas, breakrooms, reception spaces, and conference rooms across both offices.
  • Monitor, order, and replenish office supplies, breakroom items, and general consumables; ensure adequate stock levels.
  • Support mail and packaged handling, including sorting, distributing, preparing outgoing mail, and coordinating shipment between offices.
  • Assist with general office operations such as filing (electronic and paper), document preparation, data entry, and maintaining organized records.
  • Coordinate meals, refreshments, and logistical arrangements for meetings, trainings, and visitors.
  • Perform all other duties as assigned.
