Job Purpose The Administrative Assistant serves as the first point of contact for visitors and callers while also supporting broader administrative and operational functions. This role combines front-desk responsibilities with high-level administrative support, including invoice processing, event logistics, and security system oversight. The ideal candidate is highly organized, tech-savvy, and capable of managing multiple priorities in a dynamic office environment.

Requirements

  • 2-4 years of experience in an administrative or receptionist role, preferably in a corporate setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) is required.
  • Experience with invoice processing and basic accounting principles.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Associate's or Bachelor's degree in Business Administration or related field preferred.

Nice To Haves

  • Experience with event planning or coordination.
  • Familiarity with the Verkada Security System or similar platforms.
  • Bilingual or multilingual skills are a plus.

Responsibilities

  • Greet and direct visitors in a professional and welcoming manner.
  • Manage incoming calls and inquiries, routing them appropriately.
  • Maintain visitor logs and issue badges in accordance with security protocols.
  • Provide administrative support to the Executive Support Team.
  • Process, code, and track invoices using internal systems.
  • Coordinate logistics for corporate events, including vendor communication, scheduling, and on-site support.
  • Monitor and manage the Verkada Security System, including access control and camera oversight.
  • Ensure the reception and common areas are clean, organized, and stocked.
  • Coordinate using Microsoft Outlook, ensuring optimal scheduling of meetings, appointments, and events.
  • Manage meeting logistics including agendas, attendee coordination, conference room reservations, and technology setup (Teams/Zoom integration).
  • Support special projects and perform other duties as assigned.
