About The Position

Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants. Texas Tech Health El Paso (TTEP) is not considering applications from individuals who require sponsorship for an employment visa, including those with H1B visas or those currently on student or postgraduate visas. Additionally, this position is not eligible for remote or hybrid opportunities. All work is required to be performed onsite at TTEP.

Requirements

  • Self-starter with ability to perform work independently.
  • Excellent verbal and written communication skills; Strong organizational and multi-tasking skills and ability to thrive in busy office environment.
  • Proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Access) and MS Outlook.
  • High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for required experience on a year for year basis.

Nice To Haves

  • Experience in health care and/or university setting preferred.
  • Familiarity with graphic design software such as Canva or Adobe Creative Suite preferred.

Responsibilities

  • Produces collateral materials, to include letters, flyers, brochures, visual aids and web content, while working within established brand guidelines and ensuring accuracy, clarity and appropriate tone for the audience.
  • Processes travel applications and vouchers for faculty candidates and staff and coordinates airline, lodging and transportation arrangements.
  • Coordinates the department’s first line of customer service by answering phone calls, greeting and directing department guests, stocking beverages and fielding inquiries or requests for service.
  • Maintains confidential and accurate records in recruitment provider database and filing system with regard to position postings, candidate application and credentials, and contact information.
  • Respond to inquiries from candidates, faculty, administrators and staff in a courteous accurate and timely manner.
  • Hosts prospective faculty by shuttling candidates from airport/hotel/campus buildings to scheduled meetings.
  • Places advertisements for faculty openings in selected journals and job boards.
  • Maintains tracking logs and tickler systems to collect candidate’s faculty application materials, credentials, and other documents as required appointment completed candidate files.
  • Schedules in-person and virtual business meetings and other department-sponsored events and coordinates meeting logistics such as invitations, room reservations, A/V and maintenance workorders, catering, agenda and minutes preparation, and registration management.
  • Orders office supplies and processes requisitions for vendor payments in TechBuy system.
  • Maintains receipts and supporting documentation and processes purchasing card reconciliations records.
  • Serves as Project Manager (PM) for at least one major project and assists in the execution of events or projects for the Office of Faculty Affairs.
  • Provides general administrative support to Vice President for Faculty Success, Managing Director and Director, and search committee chair(s).
  • Remain current with all licensure, certifications and mandatory compliances and trainings required of this position.
  • Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
  • Personally, and consistently, demonstrate, display and act in accordance with Texas Tech Health El Paso’s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).
  • Serve as a Value's leader while actively promoting and encouraging staff across the institution.
  • Perform all other duties as assigned.
