We are seeking a proactive and detail-oriented individual to join our Preferred Travel Group VIP Desk as a VIP Desk Coordinator & Social Groups Specialist. This role is responsible for the support of all aspects of VIP Desk operation, including Preferred Access, Preferred Platinum, Luxury Consortia (Virtuoso, ALTOUR, Signature, etc.), Beyond Green, Preferred Residences, Preferred General Information Email box, Preferred Marketing Nights Sale Campaigns, and any other programs as developed. Additionally, this position will encompass the responsibilities of a Social Groups Specialist, handling inquiries and reservations related to social group requests from the luxury travel agencies. This position is responsible for email responses, call handling, tracking and reports preparation related to the service. The ideal candidate will demonstrate behavioral traits such as delivering high-quality, accurate work at a consistent pace, making sound, timely decisions, building strong job knowledge, and collaborating effectively. This role is best suited to someone who thrives in a fast-paced, high-volume environment, confidently managing phone and email workflows while consistently delivering a premium service experience across multiple luxury programs and consortia. It is also suited for a structured, process-led setting, where accuracy, detailed tracking, and following defined procedures are essential. The ideal candidate will find satisfaction in providing high-touch, end-to-end support and bringing order and clarity to service delivery through logging, tracking, and reporting.

Requirements

  • Excellent written and verbal skills in English. Written samples will be requested.
  • Proficiency in Excel is required.
  • Experience in a customer contact position.
  • Ability to manage multiple media simultaneously – phone, email, reservation system, web.
  • Highly organized.
  • Travel agency or hotel experience is required.

Responsibilities

  • Assist with Top travel agency reservations and additional services requested as part of a guest stay such as upgrades, amenities, clearance over sold dates, dinner reservations, etc.
  • Handle inquiries and reservations related to social groups, ensuring excellent customer service and smooth execution.
  • Assist with VIP Desk reports preparation as assigned.
  • Support specific PTG programs as outlined and developed (Preferred Access, Preferred Residences, Preferred Golf etc.).
  • Follow PTG processes for logging all inquiries, tracing for follow-up and resolution.
