About The Position

The Surgical Scheduler/Financial Coordinator is responsible for delivering exceptional patient-centered care by coordinating all scheduling, financial, insurance, and communication activities related to major and minor surgical procedures. This role serves as the primary liaison between patients, physicians, payors, and clinical teams to ensure a seamless and positive patient experience throughout the surgical process.

Requirements

  • High school diploma or equivalent required.
  • Minimum of three (3) years of experience in a business, financial, or physician practice setting required.
  • Working knowledge of CPT and ICD-9/ICD-10 diagnosis coding required.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to professionally collect payments and counsel patients regarding financial responsibilities.
  • Strong customer service skills and the ability to handle sensitive financial discussions with professionalism and empathy.
  • Demonstrated ability to multitask, prioritize responsibilities, and work effectively in a fast-paced team environment.
  • Strong attention to detail and ability to maintain accuracy while managing multiple tasks.

Nice To Haves

  • Experience with the EPIC electronic health record system is preferred.

Responsibilities

  • Coordinate and schedule major and minor surgical procedures, ensuring all required documentation, resources, and services are secured prior to the date of service.
  • Verify insurance eligibility, benefits, and coverage; obtain prior authorizations and referrals as required.
  • Prepare, communicate, and explain patient estimates for surgical and related services before treatment.
  • Identify and collect required prepayments and provide comprehensive financial counseling to patients regarding financial obligations and available payment options.
  • Establish payment plans and assist uninsured patients with sponsorship and financial assistance programs when appropriate.
  • Maintain and update patient demographic, insurance, and financial information within UF Health Physicians (UFHP) and UF Health System databases.
  • Independently manage surgical calendars and operating room schedules to maximize efficiency and optimize resource utilization.
  • Prioritize, schedule, and post surgical cases while coordinating any special accommodations or patient-specific needs to ensure successful surgical outcomes.
  • Serve as the primary point of communication between physicians, patients, payors, and ancillary departments throughout the surgical planning process.
  • Educate patients regarding procedural requirements, financial responsibilities, scheduling details, and preoperative instructions.
  • Collaborate with multidisciplinary teams to ensure timely resolution of scheduling, authorization, and financial issues.
  • Maintain compliance with organizational policies, regulatory requirements, and payer guidelines.
  • Support operational needs by floating to other practice locations and adjusting work schedules as needed.
