About The Position

The Coordinator, Stocker Center and Gallery Operations has a flexible schedule including nights and weekends. This role coordinates all rental events in the LCCC Stocker Arts Center's four theater spaces, lobbies, and art gallery from start to finish. The position also schedules, curates, and installs gallery exhibitions in the Beth K. Stocker Art Gallery. Additionally, the Coordinator works with the Director, the LCCC Marketing Department, and the Dean of Arts and Humanities to help create marketing and promotional materials and online social media content for Stocker rental and programmed events.

Requirements

  • Ability to prepare rental agreements (contracts).
  • Ability to maintain contact with clients and adjust details.
  • Ability to keep track of payments.
  • Ability to administer events by collaborating with clients and staff.
  • Ability to assist clients, guests, and staff.
  • Ability to review events afterward and prepare final billing.
  • Ability to follow up with clients after the event.
  • Ability to produce timelines for art deliveries, artists' contracts, inventory, receptions, website, and other promotions.
  • Ability to hang, mount, and label all artwork.
  • Ability to process sales and open the gallery during off hours.
  • Ability to take down and prepare artwork for artist(s) pick up.
  • Ability to calculate commissions due to the artist(s) and Stocker Arts Center.
  • Ability to assist in processing deposits and payments.
  • Ability to clean and prepare the art gallery for the next exhibit.
  • Lifting and positioning art weighing up to 50 pounds.

Responsibilities

  • Coordinates all rental events in the LCCC Stocker Arts Center's four theater spaces, lobbies, and art gallery from start to finish.
  • Schedules, curates, and installs gallery exhibitions in the Beth K. Stocker Art Gallery.
  • Works with the Director, the LCCC Marketing Department and the Dean of Arts and Humanities to help create marketing and promotional materials and online social media content for Stocker rental and programmed events.
  • Maintains the Stocker Arts Center calendar of events.
  • Inputs new events into Resource 25, LCCC's main calendar and scheduling program.
  • Answers main phone line and assists visitors coming into the office to provide information or give tours.
  • Checks files to verify that all documents needed for an event are included and correct.
  • Assists Stocker Arts Center Director, Administrative Associate, Staff Associate, Staff Assistant, Box Office Coordinator and Production managers daily.
  • Attends in-person and online conferences and programs for professional development and continuing education.
  • Oversees rental operations and coordination of Stocker Arts Center facilities from start to finish.
  • Responds to inquiries from potential clients, returning clients, and LCCC internal divisions and departments.
  • Reviews client needs including recommendations for space and time usage with Stocker Arts Center Production Managers.
  • Plans for the event to include staffing, equipment, or other needs.
  • Prepares a rental agreement (contract) detailing space usage, time, personnel, and equipment to calculate costs to client.
  • Maintains contact with client up until the event date, adjusting details, and keeping track of payments.
  • Administers events from start to finish by collaborating with clients, Stocker Arts Center Front-of-House personnel, production managers, and technical crew.
  • Assists clients, guests and staff in any way needed for maximum satisfaction.
  • Reviews event afterward with detailed notes and assists in preparation of final billing.
  • Follows up with client after the event.
  • Produces timelines for art deliveries, artists' contracts, inventory, receptions, website, and other promotions.
  • Hangs, mounts, and labels all artwork and have exhibition ready for the public on the reception date and time.
  • Processes sales and open the gallery during off hours for LCCC classes or other guests.
  • Takes down and prepares all work for artist(s) pick up at the end of the show.
  • Calculates commissions due to the artist(s) and Stocker Arts Center.
  • Assists Stocker Arts Center Staff Associate in processing deposits and payments.
  • Cleans and prepares the art gallery for the next exhibit.
