About The Position

We are seeking a resourceful and organized Service Coordinator, responsible for delivering a best-in-class customer experience to every Caivan homeowner. This role supports the Service Technician and Service Manager by ensuring timely completion of scheduled work, accurate documentation, and clear, consistent communication. This position is ideal for a motivated professional with a strong drive to produce a quality experience and make a meaningful impact.

Requirements

  • Post-Secondary education in business administration or a related field
  • Minimum of 2 years’ experience in a similar position
  • Strong ability to multitask and handle multiple accounts and projects at once
  • Excellent communication skills to enhance our customer’s experience
  • Meticulous attention to detail, innovative thinking, and problem-solving skills
  • Ability to work independently with minimal supervision as well as effectively as part of a Team
  • Highly motivated with a demonstrated track record of providing outstanding customer service

Responsibilities

  • Process all Tarion Warranty lists, including the Initial, Mid-Year, 1 Year, 2 Year and MSD Forms
  • Coordinate appointments with Homeowners and Trade Partners
  • Work with Homeowners daily to resolve concerns
  • Schedule and gather all necessary documents for all appointments
  • Schedule all Service Technicians as well as Trades for all open claim items
  • Create Customer Care service orders for work not recorded on Tarion Forms
  • Diligently update Newstar and OLW, as required
  • Create and distribute bi-weekly Warranty Aging Reports
  • Create and distribute all necessary Purchase Orders for trades
  • Respond and schedule all emergency calls
  • Schedule model home maintenance
  • Prepare all documentation and schedule Conciliations
  • Generate and distribute exterior pending lists to the site’s Service Manager
  • Send out Homeowner memos at vital times (ex. curb, driveway, sod install etc.)
  • Order and purchase all necessary trade materials for service as per the Service Manager’s directives
  • Reference Tarion’s CPG Guidelines to accurately document all issues
  • Perform any other duties, as required
