About The Position

The Regulatory Affairs Coordinator supports the day-to-day Operational Regulatory Affairs team in ensuring that fresh products meet all applicable regulatory requirements across global markets. Working under the direction of the Regulatory Affairs Senior Manager, this role coordinates submissions, supports compliance reviews for product packaging and claims, and maintains essential regulatory records, facilitating the adherence to market-specific requirements.

Requirements

  • 0-2+ years of experience in Regulatory Affairs; cosmetics industry preferred
  • Working knowledge of US, EU, and SEA Cosmetic Regulations
  • Exceptional organizational skills and attention to detail
  • Familiarity with other relevant non-cosmetic regulations (chemistry, packaging, environment, etc.)
  • Strong project management skills
  • Strong written and verbal communication skills
  • Ambition to learn more, and a curious mindset
  • Passion for the beauty and skincare industry
  • A Sky’s the Limit mentality
  • Advanced skills in Microsoft Suite (Excel, Word, PowerPoint), Cognos, and Adobe
  • Bachelor’s degree in a scientific field

Responsibilities

  • Create ingredient listings and registration documentation (ie. Formulas, Specifications, CFS)
  • Compile international registration documents and submit for relevant markets (EU, UK, USA, SEA, China)
  • Complete registration notification process for new cosmetic formulas to be offered in USA, Canada, EU, UK.
  • Maintain PIF completion tracker, partnering with key contacts to ensure all PIF documents are uploaded prior to product launch.
  • Conduct first-pass review of packaging copy for compliance and flag issues.
  • Review artworks against regulatory checklists to ensure global regulatory compliance
  • Track updates to ingredient restrictions and maintain portfolio status in monitoring tool
  • Support customer care with draft responses to regulatory/product inquiries
  • Coordinate Cosmetovigilance activities, including case intake, tracking and follow up.
  • Maintain templates, trackers, SOPs, and checklists.
  • Escalate regulatory risks, gaps, and urgent issues to the Regulatory Affairs Senior Manager in a timely manner.
