About The Position

The Production and Operations Coordinator, All Stars Project of New York (ASP NY), supports operational excellence in office management, information technology, event/project production, and overall coordination across ASP NY programs and activities. The Coordinator reports to the Director, Production and Operations, ASP NY. The position requires in-person attendance, Monday-Friday, in the ASP NY regional office.

Requirements

  • 2-4 years of relevant office or production experience, preferably in a non-profit setting.
  • Strong interpersonal skills: ability to relate to youth, volunteers, all levels of staff and professional partners
  • Strong verbal and written communication skills
  • Proficient level computer skills including Microsoft Office programs, specifically Microsoft Excel and Microsoft Word
  • Skill/experience in managing office equipment, including but not limited to knowledge of basic computer operations and maintenance for both Mac and PC computers
  • Organized and extremely detail-oriented
  • Commitment to underserved youth development
  • Proactive team player and flexibility in adjusting to new directions and new environments
  • Ability to lift 25 pounds and climb a ladder
  • Flexibility in schedule; ability to work on evenings and Saturdays

  • Bachelor’s degree or equivalent experience preferred

Responsibilities

  • Assist with the scheduling of activities in the facility.
  • Assist with the scheduling of required inspections and infrastructure maintenance.
  • Perform as daily front-of-house security at the lobby desk, including directing calls, greeting and directing staff, tenants and visitors and accepting and trafficking deliveries.
  • Support the day-to-day operations of the 42nd Street Center.
  • Assist with maintenance of ASP NY operations and compliance tracking document.
  • Organize facility inventory and maintain inventory list.
  • Retain Fire Department New York compliance certifications as directed by supervisor and execute related facility checks.
  • Assist staff with basic technology issues and questions, such as installing printers, mapping network shares, and installing software.
  • Serve as liaison with Managed Service Provider.
  • Maintain inventory of software and hardware.
  • Support maintenance of photo inventory.
  • Set up new equipment; prepare old machines for discarding.
  • Ensure all technology equipment is in good working order.
  • Assist in organizing volunteers for tasks and activities.
  • With input from the ASPNY leadership team, create and maintain the calendar of volunteer opportunities.
  • Provide event production support for ASP NY events and activities.
  • Respond to additional requests from the Director, Production and Operations
