About The Position

At CMLS, our Coordinators are the operational backbone of our transaction engine. We are looking for a very organized, detail-oriented professional to oversee the Montreal and Québec transaction pipeline from mandate through to archiving. In this role, you will master transaction closings, champion regulatory compliance (AML/FINTRAC, AMF), and streamline execution workflows to keep our deals moving seamlessly in a fast-paced environment.

Requirements

  • 1–2 years of experience coordinating multiple commercial transactions, projects, or fast-paced operational workflows under tight deadlines.
  • Exceptional written and verbal communication skills in both English and French are essential for this role.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Requires 5 days per week on-site presence at our Montreal office to foster close collaboration, active team engagement, and seamless operational execution.

Nice To Haves

  • Bachelor’s degree in Business Administration, Finance, Real Estate, Communications, or a related field (or equivalent professional experience) is an asset.
  • Experience in commercial real estate, commercial lending, financial services, or legal administration (with familiarity in AML/FINTRAC and corporate documentation) is a strong plus.
  • Experience with Orbit, Salesforce, or CRM deal management platforms is an asset.

Responsibilities

  • Oversee the Montreal and Québec transaction pipeline, maintaining data integrity in Orbit and managing files from mandate through to post-closing and archiving.
  • Serve as the operational backbone during closings by liaising with borrowers, lenders, legal counsel, notaries, and internal teams to ensure every requirement is met on time.
  • Manage AML/FINTRAC, KYC, broker licensing, and monthly AMF reporting in Québec, while collaborating with the national Trust & Safety team to standardize best practices.
  • Optimize execution workflows by formatting CIMs, creating presentations, conducting market research, and designing standardized templates for the team.
  • Elevate our regional brand by managing LinkedIn content, client gifts, promotional assets, and planning end-to-end networking events and conferences.
  • Take full ownership of departmental expenses, travel arrangements, commissions, invoicing, and subscription management for operational platforms.
