About The Position

The Coordinator of Graduate Programs for Teachers supports the implementation, coordination, and daily operation of graduate programs serving in service teachers within the Department of Education. Reporting to the Associate Director of Teacher Education Programs, this position is responsible for managing program logistics, scheduling, student workflow processes, data collection, and instructional systems. The Coordinator works closely with the Associate Director, Department Chair, Faculty Advisors, and administrative staff to ensure the efficient delivery of cohort-based graduate programs. This role supports program assessment, accreditation, and continuous improvement processes through coordination of data, documentation, and reporting systems.

Requirements

  • Master’s degree in Education or related field required
  • Valid teaching certification
  • Experience in PK-12 experience or program coordination in higher ed required
  • Demonstrated ability to work collegially, balance and prioritize assignments, and manage multiple projects
  • Strong organizational, interpersonal, and customer service skills; ability to manage changing priorities and meet deadlines
  • Excellent oral and written skills and ability to communicate comfortably with students, colleagues, and external constituents
  • Possess solid general computer skills, including ability to work in a Windows environment.
  • Demonstrated ability to recognize and appropriately handle matters of a confidential nature
  • Professional, courteous demeanor and appearance; ability to work professionally with students, faculty, staff and administration and represent the University professionally to the public

Responsibilities

  • Coordinate the day-to-day operations of graduate programs for practicing teachers.
  • Manage cohort schedules, including course sequencing, timelines, and program progression.
  • Coordinate and support cohort orientation sessions, including recording and distribution of virtual orientation materials.
  • Complete first-class attendance verification and compliance processes at the start of each academic term.
  • Maintain program calendars, timelines, and operational tracking systems.
  • Coordinate implementation of integrated programs of study in consultation with department administration to support student progression.
  • Serve as the primary liaison with K-12 Teachers Alliance (KTA) partners, coordinating cohort operations, partner communications, and activities that support educator recruitment, enrollment, and program success.
  • Develop and maintain course schedules in coordination with the Associate Director and Department Chair.
  • Coordinate course scheduling logistics to ensure alignment with program requirements and faculty availability.
  • Work with the Associate Director to identify adjunct faculty needs based on enrollment and scheduling demands.
  • Support registration processes and coordinate with the Registrar’s Office regarding enrollment and course-related issues.
  • Monitor enrollment and assist with adjustments to course sections as needed.
  • Coordinate the logistics of student onboarding and orientation in collaboration with faculty advisors and administrative staff.
  • Support faculty advisors in developing and revising student plans of study by maintaining documentation and tracking progression.
  • Collaborate with faculty advisors and department leadership to support student success by identifying operational needs and facilitating resolution of program-related issues.
  • Maintain program-level communication materials and workflows to ensure timely and accurate dissemination of information.
  • Coordinate with the Coordinator of Clinical Placement to support practicum and cross-endorsement placement processes.
  • Collaborate with the Administrative and Student Support Assistant to design and monitor individualized student programs, monitor schedule adjustments, and resolve integrated cohort challenges.
  • Maintain up-to-date records of course syllabi, textbooks, instructional materials, and program calendars.
  • Ensure alignment among course documentation, Learning Management System (LMS) content, and program requirements.
  • Organize and maintain program files and records in accordance with departmental and accreditation requirements.
  • Maintain and manage the LMS (Blackboard) for online graduate programs courses.
  • Coordinate with faculty and adjuncts to update and maintain course shells.
  • Ensure consistency in course organization and structure across program offerings.
  • Set up and maintain gradebooks in alignment with course syllabi and requirements.
  • Provide basic technical support and guidance to adjunct faculty regarding LMS use.
  • Coordinate and support the organization and review of capstone projects.
  • Administer candidate surveys, including program entry, mid-program, and end-of-program evaluations.
  • Collect, organize, and maintain program data related to student performance, satisfaction, and outcomes.
  • Provide data collection and reporting support for program reviews and continuous improvement processes.
  • Maintain documentation and data systems required for program review and accreditation.
  • Assist in preparing materials and reports for accreditation and compliance processes.
  • Track program data, student progression, and required documentation to ensure compliance with institutional and regulatory standards.
  • Provide operational support for new program development and approval processes.
  • Coordinate logistics for new program implementation, including scheduling, systems setup, and communication processes.
  • Collaborate with internal offices (Registrar, IT, Enrollment Management) to support program operations.
  • Coordinate communication across faculty, staff, and administrative offices to support program delivery.

  • Support planning and coordination of program-related meetings and events.
  • Work collaboratively with the Administrative and Student Support Assistant to ensure effective execution of logistics and communications.
