Job Summary The Medical Staff Coordinator is responsible for the administrative functions of the medical staff office, including the credentialing and reappointment processes, committee support, and maintenance of provider data and documentation. This role ensures compliance with hospital bylaws, regulatory requirements, and accreditation standards, while supporting the efficient coordination of medical staff activities.

Requirements

  • High School Diploma or Equivalent including education equivalent to completion of secondary school or demonstrated ability to perform the essential functions of the role. (Required)
  • Some College Coursework Completed 2 years of formal education in business or a healthcare-related discipline (Required)
  • Prior Experience that demonstrates familiarity with healthcare operations and credentialing procedures (Required)
  • Prior Experience that demonstrates understanding of licensing and compliance standards for healthcare providers (Required)
  • Strong organizational, time management, and problem-solving skills.
  • Effective written and verbal communication skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite and credentialing software.
  • Ability to maintain confidentiality and comply with HIPAA and regulatory standards.
  • Critical thinking and judgment in a deadline-driven environment.

  • Prior Experience supporting medical staff governance and working with clinical leaders (Preferred)

Responsibilities

  • Distribute and process applications for medical staff membership and privileges.
  • Review applications for completeness and coordinate primary source verifications.
  • Communicate with providers regarding missing information and credentialing status.
  • Coordinate temporary privileges and practice coverage requests.
  • Maintain the Appointment Information Database, updating licensure, contact, and status details.
  • Generate and distribute reappointment notifications and documentation.
  • Route completed files for department and committee review.
  • Schedule and support medical staff and committee meetings, including room setup and materials.
  • Record and prepare minutes using approved formats.
  • Maintain and distribute current lists of medical staff members and privileges.
  • Respond to requests for verification of medical staff membership.
  • Prepare reports on provider activity and status for leadership as requested.
  • Assist with special projects, surveys, and audit readiness as assigned.
  • Promote positive relationships with providers and internal departments.
  • Uphold confidentiality and follow all hospital policies and professional standards.
