About The Position

This is a full-time position reporting to the VP of Product Management. The ML Product and Engineering Coordinator plays a critical role in keeping the Machine Learning organization operating smoothly, aligned, and connected. The Coordinator focuses on coordination, enablement, and organizational health—ensuring that teams stay informed, leaders are supported, and cross-functional work moves forward efficiently. This role requires initiative, systems thinking, the ability to see across silos, and curiosity about Etsy and machine learning / AI. As the central hub for communication and operations, the Coordinator is a trusted voice that functions as the connective tissue of the team, helping leaders and teams operate with greater focus and cohesion. The Machine Learning group at Etsy sits at the heart of our marketplace, connecting buyers and sellers by powering all of our recommendations, search results, and advertisements. We partner closely with other organizations throughout the company to deliver a deeply personalized, relevant, high-quality experience for shoppers on Etsy.

Responsibilities

Design, coordinate, and maintain processes, tools, and operating rhythms across the Machine Learning group, to ensure the team has clarity on what’s happening, what’s expected, and when
Identify friction points in how teams plan, communicate, and deliver
Recommend and pilot improvements that make teamwork and execution more seamless.
Strengthen coordination among key collaborators to ensure engagement models are structured, predictable, and efficient.
Surface insights and patterns from disparate teams that help inform leadership’s operational decisions and process evolution.
Support the Machine Learning group in company-wide processes (e.g., planning, goal-setting, initiative and org-wide reviews) by coordinating participation, managing content and required inputs, and tracking progress for major cross-company initiatives.
Draft, coordinate, and manage internal communications (e.g., newsletters, org updates, all-hands content, presentations) while maintaining clear, open communication channels between leads and their teams.
Streamline how information moves across channels and audiences, ensuring clarity, reducing noise, and creating more reliable feedback loops.
Keep distribution lists, Slack channels, and other communication pathways accurate and up to date—reflecting new hires, exits, and org adjustments.
Plan team events and department-wide gatherings
Support priority projects as needed by gathering information, organizing materials, coordination communication, and keeping complex processes moving forward.
Ensure leaders are prepared for meetings/events with materials, agendas, and logistics. Partner with other Coordinators, Program Managers, and Executive Assistants across Etsy to ensure alignment.
Represent group leaders with professionalism, discretion, and confidentiality in internal and external interactions. Serve as a trusted coordination partner, anticipating needs and helping the org stay aligned.
Build trust and connections across all layers of the group, developing situational awareness of cross-group dependencies. Proactively flag challenges, opportunities, and other relevant updates to group leadership.
Track L&D activities, expense reports, budget elements, and other operational enablers that keep the organization functioning efficiently.
Manage leaders’ calendars, travel, and other scheduling assignments, as needed.
