About The Position

This role is responsible for processing and maintaining confidential compliance records to meet the requirements of various government regulations and company policies. The Coordinator will handle fingerprint results, criminal history record checks, and ensure audit readiness by managing application forms and follow-ups. They will also be responsible for converting electronic results, storing files, maintaining inventory logs, conducting internal audits, and supporting Compliance Specialists with program audits. Additionally, the role involves performing various office duties such as typing, filing, greeting visitors, handling mail, and preparing reports from automated databases.

Requirements

  • Minimum Age: 18
  • High school diploma or GED equivalent
  • College degree and/or courses in Business Administration, Human Resources or other relevant areas
  • Previous experience with Compliance, or Human Resources experience is a plus
  • Working experience dealing with confidential and sensitive information
  • Familiarity with HRIS systems such as SAP, Success Factors
  • Familiarity of SharePoint
  • Familiarity with regulatory terminology
  • Possess the legal right to work in the United States
  • Minimum of one (1) year of experience working in an administrative/clerical role in an office environment
  • Above average proficiency in Microsoft suite products such as Excel, Word, PowerPoint, and Outlook
  • Excellent organization and time management skills; a driven self-starter
  • Must be able to communicate effectively both verbally and in writing with candidates, employees, managers and other stakeholders
  • Must possess the ability to make sound decisions
  • Ability to build and maintain strong professional relationships across the business
  • Ability to interpret and explain complex legal and/or regulatory terminology
  • Ability to analyze and interpret large amounts of data
  • Ability to read, write, fluently speak and understand the English language

Responsibilities

  • Processes and maintains confidential compliance records to meet the requirements of various government regulations and company policies and procedures.
  • Receives, reviews, and processes fingerprint results daily for pre-employment and SIDA badge renewal.
  • Sends Criminal History Records Check (CHRC) letters for results and escalates results containing a record for further review.
  • Receives fingerprint application forms and matches them with results to ensure audit readiness; conducts regular follow-up with Managers and Recruiters regarding missing applications.
  • Converts electronic fingerprint results to PDF format; utilizes SharePoint and/or electronic storage to store files and maintain paper back-up to meet record retention obligations.
  • Maintains inventory logs of equipment.
  • Conducts internal audits and necessary follow-up work to ensure audit preparedness.
  • Researches and investigates criminal records.
  • Supports Compliance Specialists in conducting regular program audits for background screenings, I-9 verifications, and USPS application processing.
  • Performs a wide variety of office duties for management/specialist personnel, including typing, filing, ensuring telephone coverage, greeting and directing visitors, handling mail, and updating spreadsheets and manuals.
  • Prepares weekly, monthly, quarterly, and annual reports from automated databases for internal audits.
