About The Position

This HYBRID position involves 2 days remote per week and focuses on managing the GME software application to house sensitive and non-sensitive information for students, residents, shadows, and authorized visitors. The role is responsible for placing all clinical rotations within the healthcare system and supporting St. Elizabeth Healthcare’s goal of increasing clinical rotations and becoming a top community teaching facility. The position requires demonstrating respect, dignity, kindness, and empathy in all interactions.

Requirements

  • Bachelor’s degree in business or clinical field
  • Understanding of, or ability to quickly grasp accreditation standards such as ACGME, Joint Commission and CMS related to medical students, APP Students, residents, and Medical Staff education (CME).
  • Excellent verbal, written, and interpersonal communication skills.
  • Excellent computer skills, including Microsoft Office Products (Word, Excel, Outlook, PowerPoint) and the ability to work with a database.
  • Ability to multi-task and set priorities.
  • Excellent customer service skills.
  • Strong attention to detail.
  • Two years’ customer service experience.
  • Prior experience working with software database applications.

Responsibilities

  • Plan, coordinate, and implement security measures to safeguard information in computer files (application) against accidental or unauthorized damage, modification, or disclosure.
  • Assess GME application needs, improve application functionality, ensure data security and accessibility, and coordinate application changes.
  • Oversee the use, selection, and acquisition of software/modules.
  • Correct errors and make necessary modifications to the application.
  • Train users and answer questions regarding the application.
  • Specify users and user access levels for each segment of the database.
  • Integrate different products to ensure they work together, tailoring the application to specific needs.
  • Identify and evaluate product trends to advise upper management on the purchase of additional programs and services.
  • Build reports and queries for Administration, management personnel, and others, tailored to their specific needs.
  • Generate reports to internal and external customers monthly.
  • Act as the system administrator for the student information management database, ensuring accurate data entry and reporting.
  • Enter data into the Medical Affairs database as needed.
  • Serve as a point of contact for student placement for educational institutions across the Healthcare system.
  • Serve as a point of contact for educational affiliation agreements and maintain an up-to-date roster of affiliation agreements with schools/programs.
  • Ensure clinical rotations are entered into GME software to provide visibility into preceptor availability.
  • Compile monthly statistics on the number and type of student rotations.
  • Maintain department information on the website and intranet.
  • Support medical education program growth (APP Fellowship, additional residencies).
  • Support CME Program as needed (Grand Rounds, RSS, special programs).
  • Support Medical Library resources; assist physicians and APPs with literature searches and article retrieval as needed.
  • Act as an information source for Medical Staff members and Advanced Practice Providers on hospital/Medical Staff policies, governing documents, and regulatory requirements related to clinical education rotations.
  • Communicate policies and procedures regarding clinical rotations with learning institutions and students.
  • Greet visitors to the department, using good customer service skills, to ensure a positive impression of the department and health system.
  • Process SARS requests for community physician offices (EMR access).
  • Collaborate with different departments, administration, and clinical leaders to ensure clinical student rotations are approved.
  • Perform other duties and special projects as requested and assigned.
