About The Position

The Biotechnology Innovation Organization (BIO) is seeking a Coordinator of Infectious Disease Policy and Science & Regulatory Affairs to provide comprehensive administrative, logistical, and operational support to two policy teams. This role ensures smooth coordination of team and policy committee meetings, communications, and efficient management of day-to-day operations. The coordinator will manage committee records, process financial documents, coordinate meetings, support policy research and writing, and liaise with external stakeholders and vendors, all while maintaining efficient systems and tracking progress on team activities.

Requirements

  • College degree or equivalent work experience.
  • 2+ years of experience in an office environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Superior written and verbal communication skills.
  • Demonstrated interest in healthcare policy and related issues.
  • High level of professionalism and discretion in handling sensitive information.

Nice To Haves

  • Bachelor’s degree in science, public health, business, or communications.
  • Prior administrative or trade association experience preferred, especially in healthcare, biotechnology, or science industries.
  • Experience with Salesforce, or other database software.
  • Flexible, team-oriented, and committed to providing excellent service.
  • Pro-active self-starter with exceptional initiative and the ability to take ownership of tasks.

Responsibilities

  • Manage calendar, meeting, and expense reports for EVP & Chief of Global Health.
  • Maintain Board and Staff committee distribution lists and rosters across multiple platforms (Fonteva, Salesforce, Outlook, Excel, Share Vault).
  • Process and maintain accurate records of contracts, invoices, and other financial and contracting materials.
  • Provide logistical and communications support for Infectious Disease Policy and Science and Regulatory Affairs meetings, including scheduling, catering, facilities coordination, meeting materials, and notes.
  • Support BIO committees with email communications, RSVPs, name cards, meeting notes, and action items.
  • Act as Compliance Coordinator for department records and shared drives.
  • Provide policy research and writing support on infectious disease policy, science and regulatory topics.
  • Develop meeting materials for policy meetings and attend external meetings as needed.
  • Liaise with external vendors and assist with tracking expenditures.
  • Perform other duties as assigned.
