About The Position

Community Healthcare Network is seeking a full-time Coordinator for the Family Medicine Residency Program. Under the leadership and supervision of the Family Medicine Residency Program Director, this role provides administrative and operational support to the Family Medicine Residency Program and Sponsoring Institution. The coordinator works alongside the Administrator, Family Medicine Residency Program, on day-to-day program administration, scheduling, communications, educational activities, recruitment, resident and faculty support, data management, event logistics, and document organization. This position collaborates closely with residents, faculty, program leadership, administrative staff, and other departments to ensure efficient program operations and compliance with established program and institutional processes. Responsibilities

  • Update residency recruitment brochure and resident handbook with complete and accurate program information.
  • Verify minimum requirements/criteria for candidate interview consideration and conduct preliminary reviews of candidate files.
  • Organize selected candidate interview sessions, including recruitment and assignment of faculty members.
  • Conduct interview evaluation programs to assist in the final ranking of program applicants.
  • Submit an accurate final ranking list for the National Residency Matching Program.
  • Coordinate orientation for new residency appointees.
  • Generate CHN residency contracts.
  • Monitor ongoing program expenditures, compile routine financial sheets, and flag variances for budget management.
  • Document residents’ records for maintenance of current professional certification and licensure (e.g., BLS, ACLS, ATLS, permanent M.D. and D.O.).
  • Create and implement annual resident rotation schedule in compliance with ACGME, AOA, RRC, and OPTI educational experience requirements, including faculty preceptorship assignment.
  • Assign all specialty and subspecialty rotations, including administration of arrangements and requirements for outside rotations.
  • Develop and implement private office assignment schedule.
  • Provide administrative support to faculty in managing lecture schedules, logistics, and tracking attendance and evaluation data.
  • Provide statistical reports analyzing resident progression in program requirements.
  • Manage monthly night/weekend on-call schedules while complying with regulations regarding resident working hours and distributing monthly resident and student meal allowances.
  • Coordinate departmental research projects, including maintaining and updating departmental lists for faculty and residents.
  • Prepare evaluations and maintain the educational progression of residents in compliance with national requirements, including residents’ evaluations of the residency program.
  • Monitor residents’ educational funds.
  • Track annual resident vacation and/or conference requests.
  • Administer assignments for rotations of subspecialty residents and medical students, including documentation of requirements, supervision and evaluation, housing, meal allowances, and on-call assignments.
  • Schedule all resident conferences and educational activities.
  • Generate affiliation agreements/contracts.
  • Maintain all educational program documentation.
  • Collaborate on RRC and OPT program application forms for re-accreditation, collect and organize supporting data, and participate in site visits by accrediting bodies.
  • Serve as a proctor for annual examinations and organize resident activities such as mock oral examinations.
  • Complete and submit all databases related to the residency program.
  • Organize annual graduation.
  • Serve as a member of CHN medical Staff Committees: GMEC and CME.
