About The Position

Florida Atlantic University is seeking a Coordinator, Event Planning. - Boca Raton, FL. The Coordinator for Event Planning reports directly to the Assistant Director for Event Planning and advises and works with Registered Student Organizations (RSO) regarding Student Union facilities and services, processing, and scheduling events.

Requirements

  • Master's degree from an accredited institution in an appropriate area of specialization and one year of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.

Responsibilities

  • Supervises the Event Planning student positions to ensure that all events are accurately input in accordance with Student Union Event Planning policies for Student Union, classroom spaces, and other university venues.
  • Works directly with student organizations to plan, organize, and execute their events, ensuring compliance with University and Student Union policies and procedures.
  • Works closely with University partners, such as FAU Police, Dining Services, and Traffic & Parking, in facilitating Registered Student Organization (RSO) events.
  • Meets regularly with the event planning team to ensure that all events are scheduled properly in the Event Management System (EMS) and are in accordance with the Student Union event reservations and financial policies and procedures.
  • Primary point of contact for all FAU student RSO events.
  • Works closely with the Operations team to ensure that all room setups, diagrams, and event logistics within the EMS system are correct.
  • Responsible for communicating with University Facilities regarding needs for all Outdoor Spaces.
  • Prepares agreements for users, including preparing cost estimates for the user and the Student Union's financial services for billing.
  • Responsible for collecting liability insurance and obtaining all necessary documentation with off-campus customers.
  • Assists in the preparation of appropriate contracts, invoices, forms, reports, and correspondence.
  • Works with the Operations department to coordinate room setup requirements as well as FAU Police, Business Services, and Traffic & Parking.
  • Works with customers from start to finish regarding Student Union/campus facilities and services to ensure the successful implementation of events.
  • Works closely and cooperatively with the Operations professional and student staff to schedule, set up, and prepare reserved rooms.
  • May directly supervise and train student workers.
  • Perform other job-related duties as assigned by the Director.
