About The Position

At Brightflag, events play a critical role in supporting our brand and pipeline strategies. We’re looking for a highly organized and detail-oriented Event Planning Specialist to join our marketing team. This role is responsible for leading the planning, execution, and performance tracking of events programs: including both owned and sponsored events, across in-person and virtual formats. From large industry trade shows to intimate executive dinners and thought leadership roundtables, you’ll be the driving force behind experiences that elevate Brightflag’s brand presence, engage our audiences, and generate meaningful pipeline for the sales organization. You’ll use AI-driven tools and insights to enhance event targeting, streamline logistics, and measure success ensuring every event delivers maximum impact.

Requirements

  • 2+ years of experience in event management, within B2B SaaS or professional services.
  • Proven track record managing both large-scale conferences and smaller VIP experiences.
  • Experience using AI and automation tools for marketing or event optimization, e.g., analytics, personalization, audience segmentation, or performance measurement.
  • Exceptional organizational skills and attention to detail you thrive on structure and precision.
  • Strong interpersonal and communication skills, with the ability to influence and collaborate across teams.
  • Experience managing vendors, budgets, and contracts.
  • Analytical mindset with the ability to interpret event data and translate insights into action.
  • Comfort working in a fast-paced, high-growth environment with competing priorities.

Responsibilities

  • Plan and execute a diverse portfolio of events including trade shows, partner events, client gatherings, and virtual webinars.
  • Leverage AI tools pre-event to identify ideal audiences, personalize outreach, optimize event promotion, and forecast engagement.
  • Use AI post-event for lead scoring, content analysis, and ROI reporting translating data into actionable insights for the sales and marketing teams.
  • Own the full event lifecycle: strategy, logistics, vendor and venue management, contracts, budget tracking, and post-event analysis.
  • Collaborate cross-functionally with Marketing, Sales, SDRs, Legal, Finance, and Product teams to align event goals with broader business priorities.
  • Manage vendor relationships, negotiate contracts, and work with Brightflag’s internal legal team to ensure compliance and efficiency.
  • Coordinate pre- and post-event campaigns in partnership with the SDR team to drive attendance, engagement, and follow-up pipeline activity.
  • Oversee event reporting and analysis, providing data-driven insights and recommendations for future events.
  • Maintain and balance event budgets, ensuring cost-effectiveness without compromising quality or brand representation.
  • Act as the brand steward at every touchpoint ensuring a consistent, high-quality Brightflag experience for all attendees and partners.
