Requirements

  • 1-2 years of fundraising, events management, or equivalent experience preferred
  • Strong project management skills with exceptional attention to detail, organization, and deadline management.
  • Excellent verbal, written, and interpersonal communication skills, with the ability to tailor messaging to diverse audiences.
  • Proven ability to work collaboratively across departments and with external stakeholders, including sponsors, volunteers, donors, and board members.
  • Comfort reviewing and synthesizing information quickly.
  • High attention to detail.
  • Maintains professional discretion handling confidential donor information.
  • Proficiency with Microsoft Office.
  • Experience with a CRM system, such as Salesforce, preferred.
  • Willingness to work occasional evenings and weekends as required by event schedules.
  • Regular and punctual attendance is required.
  • High integrity, emotional intelligence, and the ability to represent the Food Bank with professionalism and enthusiasm.

Responsibilities

  • Support the planning and execution of donor engagement, cultivation, and stewardship events.
  • Provide administrative and logistical support for the “At the Table” series, including tracking event timelines, guest lists, invitations, RSVPs, sponsor benefits, briefing needs, and other planning details.
  • Help coordinate donor events, small gatherings, tours, briefings, and other touchpoints that deepen donor connection to CAFB’s work.
  • Manage event logistics, including invitation lists, nametags, briefing materials, event supplies, room setup, catering coordination, run-of-show documents, and follow-up tracking.
  • Provide administrative and logistical support for the Fundraising Engagement Committee, including meeting scheduling, materials, notes, follow-up tracking, and committee communications.
  • Help track Fundraising Engagement Committee member engagement, introductions, event attendance, sponsorship leads, in-kind opportunities, and other next steps connected to the committee’s fundraising and relationship-building goals.
  • Maintain event checklists, timelines, vendor information, sponsor tracking documents, and internal systems so donor engagement and event work is organized, consistent, and easy to use.
  • Ensure event-related donor engagement activity and next steps are captured appropriately in Salesforce.
  • Support stewardship efforts by helping prepare impact updates, donor notes, recognition materials, and personalized follow-up.
  • Conduct donor and prospect research to support cultivation, solicitation, and stewardship strategies.
  • Prepare donor and prospect briefing materials for meetings, tours, events, and other engagement opportunities.
  • Support prospecting by identifying new individuals, companies, foundations, and community connections aligned with CAFB’s priorities.
  • Maintain research files, briefing templates, stewardship tracking systems, and follow-up tools so donor engagement and prospecting work is organized and easy to use.
  • Coordinate with Development colleagues to ensure donor next steps, stewardship actions, and meeting follow-up are clear and consistently tracked.
  • Partner with the Director of Donor Engagement in stewarding event donors.
  • Work with the Director of Donor Engagement and Culture Committee to organize and produce employee appreciation events for CAFB staff and their families.
  • Provide logistical support for monthly staff lunches, including catering coordination, room setup, supplies, and day-of support.
  • Maintain simple checklists, timelines, and vendor/contact information to ensure recurring staff events are planned consistently and efficiently.
  • Other duties as assigned.
