About The Position

The Coordinator, Development Services, plays a crucial role in helping to achieve the organization’s development fundraising goals and objectives through a wide range of cross-functional and administrative responsibilities that support operational and fundraising activities. This position is responsible for administering donor and prospect data management, maintaining data quality and integrity, supporting pipeline and portfolio management, reporting, championing development processes, and ensuring accurate tracking of cultivation and stewardship activity within CRM systems.

Requirements

  • Post-secondary education in a related field or relevant experience in a similar role
  • 3+ years working within a major gift environment and supporting all stages of the donor lifecycle
  • Strong understanding of donor and prospect data and databases
  • Ability to manage multiple projects at once and produce high-quality work under tight deadlines while maintaining strong attention to detail
  • Curiosity, resourcefulness and adaptability
  • Superior organizational, project management and resource management skills
  • Knowledge of prospect research tools and databases such as iWave, CharityCan, Grant Connect, or similar platforms.
  • Ability to work in a multi-layered, complex, results-oriented institution with multiple internal and external stakeholders.
  • A professional and responsive client-service approach
  • Self-motivated, with sound judgement and ethical decision-making skills

Responsibilities

  • Maintain accurate donor and prospect records and data integrity (including adding, updating, merging and cleanup of records) in the donor database
  • Acts as a central resource and primary coordinator for donor and prospect information in the database, ensuring data quality, process compliance, and adherence to development standards like promoting the adoption of best practices
  • Liaises and collaborates with the CRM team, regional development teams and fundraising support staff to optimize CRM usage and resolve data related issues
  • Proactively establishes and manages documentation related to CRM processes, training and data standards and trains staff on how to access and use resources
  • Coordinates CRM onboarding and process training activities, develops supporting resources, and identifies ongoing training needs across development teams
  • Supports the Senior Manager with data requests ensuring data integrity and accuracy, alignment with fundraising priorities, opportunities, and reporting needs
  • Manages the intake and triage of work requests to ensure completeness of information, assignment of work and alignment with established development processes
  • Conducts prospect identification, qualification, and research, using internal and external information sources (e.g., iWave, CharityCan, Grant Connect) to support fundraising priorities
  • Completes special prospect research requests and projects to support donor development and fundraising activities
  • Maintains donor and prospect records, including research summaries, ratings, relationship tracking, and other relevant information in CRM and related information management systems
  • Maintains prospect pipelines and portfolio information aligned with fundraising priorities
  • Prepares prospect research snapshots, prospect profiles, briefing materials, and other research products to support donor development and fundraising activities
  • Maintains and enhances standard and ad hoc fundraising reports, dashboards, and reporting infrastructure to support fundraising performance monitoring, pipeline management, portfolio planning, and decision-making
  • Coordinates donor and prospect information to support cultivation and stewardship events including pulling targeted donor lists from CRM, attendee briefings/event bios to ensure key relationship managers know who to connect with at the events
  • Leads and overseas the management of events in CRM to ensure fundraising support team members are tracking cultivation events and cultivation or stewardship mailings in CRM
  • Leads and ensures the seamless collection and coordination of information for prospect and donor advancement purposes and cultivation events
